Position Summary:

Under direct supervision, the individual will be responsible for welcoming patients and assessing the purpose of their visit. This role encompasses duties related to the check-in process, including the verification of eligibility and benefits across various insurance plans, preparation of referral documentation, and data entry tasks. The position also involves responding to patient inquiries and managing the check-out process, which includes scheduling follow-up appointments and procedures conducted within the office.

Physical and Mental Demands:

This role requires prolonged periods of standing, sitting, and working on a computer. The ability to handle stressors associated with a technical work environment, patient care, and urgent situations is essential.

Work Environment:

The position is set in a fast-paced environment with a high volume of patient interactions. There may be a requirement for overtime, and the individual must be adaptable to various roles within the front desk, phone operations, and filing areas. Travel to multiple office locations may be necessary.

Key Responsibilities:
  1. Welcome all patients to the office and ascertain the purpose of their visit.
  2. Provide new patients with all necessary documentation to establish a medical record.
  3. Review documents to ensure all required fields and signatures are completed.
  4. Input new patient insurance details into the relevant system.
  5. Verify and scan patient identification and insurance cards, updating records as necessary.
  6. Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
  7. Respond to calls from primary care physician offices regarding patient referrals.
  8. Collect payments for office visits and outstanding balances, issuing computerized receipts and recording transactions.
  9. Balance monetary transactions on a daily basis.
  10. Schedule appointments for follow-up visits and procedures.
  11. Prepare follow-up appointment cards for patient reference.
  12. Facilitate physician callbacks and patient follow-ups.
  13. Perform various clerical tasks, including preparing scripts for hospital testing and managing appointment cancellations.
  14. Assist colleagues with filing and phone responsibilities as time permits.
  15. Maintain confidentiality of patient records and uphold accountability for personal development in required skills.
  16. Assist with office housekeeping duties as needed.
Qualifications:

Education: High school diploma or GED required.

Experience: Minimum of one year in a professional office setting preferred. Customer service experience is a plus. General clerical skills, including basic computer proficiency and typing speed of 30 words per minute, are necessary. Strong communication and interpersonal skills are essential, along with self-motivation and organizational abilities. A focus on customer service is crucial.
