Position Summary:

Under direct supervision, the role is accountable for welcoming patients and assessing the purpose of their visit. This position encompasses tasks related to the check-in procedure, which includes confirming eligibility and benefits across various insurance plans, generating referral documentation, and performing data entry tasks. The individual will also address patient inquiries and facilitate the check-out process, which involves scheduling follow-up appointments and procedures conducted within the office.

Physical and Mental Demands:

This role requires prolonged periods of standing, sitting, and monitoring a computer screen. The ability to manage stressors associated with a technical work environment, patient care, and urgent situations is essential.

Work Environment:

The position is set in a fast-paced atmosphere with a high volume of patient interactions during check-in and check-out. There may be opportunities for overtime, and the individual must be prepared to rotate through various front desk responsibilities, including phone and filing tasks. Travel to different office locations may be necessary.

Key Responsibilities:
  1. Greet all patients upon arrival and ascertain the reason for their visit.
  2. Provide new patients with all necessary documentation to establish a medical record.
  3. Review submitted documents to ensure all required fields and signatures are completed.
  4. Input new patient insurance details into the Ntierprise system.
  5. Verify and scan patient identification and insurance cards, updating records as necessary.
  6. Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
  7. Respond to phone inquiries from primary care physician offices regarding patient referrals.
  8. Collect payments for office visits and outstanding balances, issuing computerized receipts and recording transactions in the Ntierprise system.
  9. Balance monetary transactions on a daily basis.
  10. Schedule follow-up appointments and procedures conducted in the office.
  11. Prepare appointment cards for patient use.
  12. Facilitate physician callbacks and patient follow-ups.
  13. Perform various clerical tasks, including completing forms for hospital testing and rescheduling appointments.
  14. Assist colleagues with filing and phone responsibilities when time permits.
  15. Maintain confidentiality of patient records and uphold accountability for personal development and skill enhancement.
  16. Assist with office housekeeping duties as needed.
Qualifications:

Education: High school diploma or GED.

Experience: Minimum of one year in a professional office setting, with a preference for customer service experience. General clerical skills, basic computer proficiency, and the ability to type at least 30 words per minute are required. Strong communication and interpersonal skills, along with self-motivation and organizational abilities, are essential. A focus on customer service is paramount.
