Position Summary:

Under direct supervision, the individual will be responsible for welcoming patients and assessing the purpose of their visit. This role encompasses duties related to the check-in process, including verifying eligibility and benefits for all insurance plans, generating referral documentation, and performing data entry tasks. The position also involves responding to patient inquiries and managing the check-out process, which includes scheduling follow-up appointments and procedures.

Physical and Mental Demands:

This role requires prolonged periods of standing, sitting, and viewing a computer screen. The ability to handle stressors associated with a technical work environment, patient care, and urgent situations is essential.

Work Environment:

The position is set in a fast-paced environment with a high volume of patient interactions. There may be a need for overtime, and the individual will rotate through various front desk, phone, and filing responsibilities. Travel to different office locations may be required.

Key Responsibilities:
  1. Welcome all patients to the office and ascertain the nature of their visit.
  2. Provide new patients with necessary forms to establish their medical records.
  3. Review documentation to ensure all required fields and signatures are completed.
  4. Input new patient insurance details into the relevant software.
  5. Verify and scan patient identification and insurance cards, updating records as necessary.
  6. Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
  7. Respond to calls from primary care physician offices regarding patient referrals.
  8. Collect payments for office visits and outstanding balances, providing receipts and recording transactions accurately.
  9. Schedule follow-up appointments and prepare appointment cards for patients.
  10. Assist with clerical tasks, including completing forms for hospital testing and managing appointment cancellations.
  11. Maintain confidentiality of patient records and ensure compliance with quality improvement standards.
  12. Support office housekeeping duties as needed.
Qualifications:

Education: High school diploma or GED required.

Experience: A minimum of one year in a professional office setting is preferred. Customer service experience is advantageous. Proficiency in general clerical tasks, basic computer skills, and a typing speed of 30 words per minute is required. Strong communication and interpersonal skills are essential, along with self-motivation and organizational abilities, with a focus on customer service excellence.
