The Administrative Assistant will provide administrative support to the Route Operations Specialist, performing routine clerical and administrative functions such as AR/AP, invoices, organizing and maintaining paper and electronic files, and coordinating corporate scheduling requests for training. The ideal candidate will be highly self-motivated, display professional maturity when dealing with company-related materials, and possess a demonstrated ability to manage and balance workloads and prioritize tasks and projects in a fast-paced environment while handling multiple and competing priorities.
Key Responsibilities:
- Coordinate and communicate schedule requests from the corporate office
- Reconcile AR/AP and process check deposits
- Manage timekeeping and adjustments, team expense reports, and submissions
- Track third-party auditing software compliance for daily operations, specifically GoSpotCheck
- Maintain a calendar of events for route operations and assist with scheduling the route purveyor
- Order office supplies and haberdashery, organize invoices and expense reports, and print program materials as needed
- Assist in organizing team and store communications on bi-weekly initiatives and send/receive mail
- Research new customers and vendors, and provide basic functionality with limited access to Xtreme
- High School diploma plus additional specialized training in general administrative practices
- One to three years of related experience
- Proficiency in MS Office applications, specifically Word and Excel, and knowledge of PowerPoint applications
- Strong communication and customer service skills
- Ability to use a printer/scanner with proficiency and maintain physical and digital files
- Discretion when handling sensitive information and ability to work independently and as a team
- Effective time management
