Administrative Support Specialist

We are seeking a highly skilled and experienced Administrative Assistant III to join our team at US Tech Solutions. As a key member of our staff, you will provide advanced administrative support to our management team, ensuring the smooth operation of our department.
Key Responsibilities- Maintain accurate and up-to-date records and documents in accordance with our recordkeeping requirements.
- Prepare travel authorization and expense forms, and coordinate travel arrangements in accordance with our travel procedures.
- Monitor department personnel qualifications to ensure they are properly maintained.
- Facilitate new staff onboarding, schedule performance appraisals, and prepare personnel-related paperwork and records.
- Prepare various reports, correspondence, and presentations, often of a confidential nature, for key audiences.
- Provide office management and administrative support to the department.
- Receive and direct in-person and telephone inquiries, answering all questions as able.
- Distribute department mail and faxes daily, monitoring for sensitive items and alerting appropriate staff.
- Maintain office supply inventory and place special orders within budget.
- Coordinate department facility and equipment needs.
- Serve as department subject matter expert for our AR system, generating ARs, preparing weekly reports, and tracking actions to timely closure.
- Design and maintain our Corporate SharePoint site.
- Initiate contract requisitions and changes, and coordinate annual funding of all CF contracts.
- Serve as credit card custodian, reconciling monthly billing.
- Register staff for training.
- High school diploma or GED with a minimum of five years of progressive administrative experience, including leadership responsibilities and independent decision-making authority.
- Record of professional development to enhance skills and knowledge for responsibilities assigned.
- Ability to prepare documents using Microsoft Office programs and information management tools.
- Knowledge of general to advanced office management techniques, including spelling, grammar, punctuation, and use of standard office equipment.
- Proper professional office etiquette.
