Procurement Specialist

Position Title: Buyer

Purpose:

The Buyer is responsible for overseeing and strategizing the procurement of materials, components, and equipment. This role is essential for ensuring that the necessary items are received on schedule to maintain seamless production operations. The primary function involves managing the entire procurement process to secure optimal pricing, timely delivery, and high-quality products or services.

Key Responsibilities:

• Manage requisitions for the acquisition of maintenance, repair, and operational supplies (MRO) across the facility, ensuring the best pricing, delivery timelines, and quality from suppliers.
• Coordinate with various departments to gather relevant information, place orders, and obtain approvals for purchase requisitions.
• Engage with vendors to finalize orders and expedite deliveries to ensure prompt receipt of goods.
• Input purchase orders into the system and distribute copies to relevant departments, maintaining accurate records of all transactions.
• Verify received items against purchase orders to ensure accuracy and completeness.
• Handle return-to-vendor (RTV) processes and associated shipping documentation.
• Maintain daily and weekly models for tracking parts procurement for assigned divisions.
• Conduct inventory level analysis and provide insights as needed.
• Keep abreast of vendor production schedules and communicate any discrepancies in fulfillment to management promptly.
• Assess potential shortages and propose alternative solutions.
• Review current pricing structures and negotiate cost reductions with suppliers.
• Commit to continuous improvement and demonstrate sound business judgment consistently.

Additional Responsibilities:

• Follow up on requests for Material Safety Data Sheets (MSDS).
• Manage check requests and credit references for new vendor accounts.
• Oversee maintenance agreements and service contracts.
• Responsible for ordering safety apparel and uniforms for all personnel.
• Flexibility in scheduling may be required to meet critical deadlines.
• Perform other related duties as assigned.

Qualifications:

Education and Experience:

A minimum of an Associate's degree in business is preferred, or at least two years of experience in material procurement.

Knowledge, Skills, and Abilities:

• Proficient in computer applications including Word, Excel, Access, and Outlook.
• Strong verbal and written communication skills, with the ability to interact effectively with personnel at all levels.
• Capability to manage multiple tasks and projects efficiently.
• Able to thrive in a collaborative team environment.

Supervisory Responsibilities:

This position does not have supervisory duties.

Contact Requirements:

Regular interaction with purchasing department staff, supervisors, and various departments involved in MRO procurement, as well as daily communication with vendors.

Physical and Mental Requirements:

The role may require occasional standing, walking, sitting, and lifting up to 50 lbs. The individual must possess strong comprehension skills and demonstrate high levels of verbal, written, and numerical intelligence.
