The Administrative Assistant to the Associate Provost provides administrative support to the Associate Provost, the Office of the Provost, and faculty members. This role requires excellent interpersonal skills, superior organization skills, and the ability to work closely with students and faculty.
Key Responsibilities- Administrative Support to the Associate Provost
- Screen and schedule appointments for the Associate Provost
- Assist in planning, programming, and coordinating New Faculty Orientation
- Prepare and assemble documents for various committee meetings and reports
- Assist with research projects
- Provide general administrative support
- Administrative Support to the Office of the Provost
- Greet visitors and connect them with appropriate personnel
- Answer phone calls and emails in a timely manner and direct inquiries to the appropriate personnel
- Manage the invoice and reimbursement process and log all invoices on a monthly ledger
- Assist the Executive Assistant as needed
- Assist in organizing events and mailings throughout the school year
- Be responsible for the regular maintenance of personnel folders
- Order supplies
- Administrative Support to Faculty, Departments, and Programs
- Assist faculty members and academic departments with clerical tasks as needed
- Coordinate student evaluations of faculty
- Oversee the collection of faculty syllabi
- Competencies
- Excellent interpersonal skills and ability to work closely and responsibly with students and faculty
- Superior organization skills and effective phone manner
- Initiative, flexibility, multi-tasking skills, and discretion in dealing with confidential information
- Proficient in office and higher education applications, including MS Word, MS Excel, and Google Docs
