Job Summary

We are seeking an experienced Administrative Assistant / Deliverables Coordinator to manage deliverables and project schedules for Qlarant's Unified Program Integrity Contractors (UPIC) team for the Western Jurisdiction. The ideal candidate will possess strong administrative and organization skills, with a track record of exceeding expectations in a fast-paced environment.

Key Responsibilities

  • Maintain and manage electronic and hardcopy of contract deliverable files.
  • Monitor and coordinate deliverables ensuring completion and timely reporting of deliverables.
  • Create and format spreadsheets, graphic presentations, and monthly reports to identify issues and trends, suggesting responses.
  • Attend meetings/conference calls; take notes and prepare agendas and minutes.
  • Remain current on changes of the SOW and inform others of Medicare change requests.
  • Maintain business relationship with the highest degree of integrity.
  • Write highly confidential documents, presentations, reports, flowcharts, and other documentation for inclusion in the deliverables for management and customers, consistent with quality standards.
  • Ensure timely updates and submission of all dashboard indicators and charts for review by the management team.
  • Ensure appropriate deliverables have been reviewed by the editor prior to submission.
  • Be aware of the due dates and send appropriate alerts to assigned personnel.
  • Use quality improvement tools to continuously improve processes to work with team to identify, develop, and implement improvement plans.
  • Maintain access with data systems necessary for CMS deliverables such as CMS ARTS and CMS Secure email.
  • Coordinate with CMS and other governmental entities as needed to carry out duties including but not limited to: obtaining or providing necessary information, identifying issues and assisting with timely responses to inquiries regarding the contract.
  • Work under contract requirements and established policies and procedures.

    • Intermediate proficiency with Microsoft Office applications.

Education and/or Experience

  • HS diploma or GED equivalent required.
  • At least two years of clerical/administrative work experience or equivalent combination of education and experience required.
  • Prior project planning, scheduling deliverables experience, or working on government contracts preferred.
  • Intermediate level Microsoft Office skills to include Word and Excel.
