Key Responsibilities:
  • Manage incoming calls to schedule appointments, address inquiries, and prioritize patient concerns.
  • Initiate outbound calls to patients as instructed by management.
  • Welcome patients upon their arrival for appointments.
  • Register new patients and update existing records, ensuring all necessary documentation is collected for treatment and accurately processing payments for services.
  • Maintain a courteous and professional phone demeanor while directing calls appropriately.
  • Facilitate patient flow by informing clinical staff of arrivals, managing delays, and communicating effectively with both patients and staff.
  • Conduct daily chart reviews to confirm that all patient appointments have the required demographic, identification, insurance, authorization, and billing information.
  • Assist in coordinating patient appointments within the practice and with external referrals.
  • Contact external sources for medical records as needed.
  • Monitor and maintain adequate office supplies and equipment.
  • Stay informed about new products and manage inventory accurately.
  • Ensure a positive patient experience through outstanding customer service.
  • Verify patient health benefits with approved healthcare providers.
  • Handle the sending and receiving of medical records and referrals for patient care.
  • Keep the reception area organized and welcoming.
  • Collaborate with team members to accomplish daily tasks effectively.
  • Perform other duties as assigned.
Work Environment:

This position operates within a healthcare setting, requiring regular movement throughout the practice and interaction with patients who may have contagious conditions.

Physical Requirements:

The role necessitates the ability to sit for extended periods and may involve lifting, reaching, bending, walking, seeing, hearing, and speaking.

Position Type:

This is a full-time role with core business hours from Monday to Friday.

Qualifications:
  • High School diploma or equivalent.
  • Strong background in customer service.
  • Preferred experience of 1 to 2 years in medical reception.
