Position Overview:

We are in search of a meticulous and systematic Accounting Specialist to become a part of our dynamic team. The successful candidate will oversee a variety of financial and administrative responsibilities, ensuring the integrity of financial documentation and contributing to the efficient functioning of our organization. This position necessitates expertise in financial software, particularly QuickBooks, along with proficiency in Excel, and experience in managing accounts receivable (A/R), accounts payable (A/P), and collection processes.

Key Responsibilities:

  • Financial Record Maintenance: Ensure precise financial documentation and accurate recording of all transactions. Perform essential administrative tasks including filing, data entry, and document organization.
  • QuickBooks Oversight: Administer financial accounts utilizing QuickBooks, including performing bank reconciliations and maintaining ledgers. Generate necessary financial reports.
  • Excel Utilization & Financial Reporting: Employ Excel for analyzing financial data, creating reports, and tracking expenditures. Develop and manage spreadsheets for budgeting and forecasting purposes.
  • Accounts Receivable Management: Oversee the billing process and guarantee prompt collection of payments. Track customer accounts and follow up on outstanding invoices.
  • Accounts Payable Processing: Verify and process invoices, ensuring accuracy and timely payments to suppliers. Maintain comprehensive records of all transactions and address any discrepancies.
  • Collection Management: Initiate and oversee collection efforts for overdue accounts while maintaining professional communication with clients.
  • Payroll Administration: Assist in or manage the preparation and processing of payroll on a weekly basis. Ensure employees are paid accurately and on time.
  • Human Resources Support: Aid the HR department with fundamental tasks such as maintaining employee records and assisting with onboarding procedures.

Qualifications:

  • Demonstrated experience as an accounting specialist or in a comparable role.
  • Proficient in QuickBooks and Excel.
  • Strong grasp of accounting principles and practices.
  • Exceptional attention to detail and organizational capabilities.
  • Ability to juggle multiple responsibilities and adhere to deadlines.
  • Effective communication skills and capacity to work autonomously.
  • Experience with A/R, A/P, and payroll processing is advantageous.
  • Familiarity with basic HR functions is a plus.

Education Requirements:

  • High school diploma or equivalent is mandatory.
  • Additional certification in bookkeeping or accounting is beneficial.
