Job Overview:
The Licensing Operations Specialist will work under the guidance of the Licensing Supervisor, providing essential administrative assistance to the Legal and Compliance Team in maintaining and ensuring adherence to the Company's state and regulatory licenses. Responsibilities include preparing documentation, organizing signature collections, managing tracking spreadsheets, participating in meetings, and conducting research on state websites. This role is part of a small, dedicated team within the Legal and Compliance Department. We are looking for a motivated individual who is capable of working independently and is eager to grow and develop within the organization. The position offers a hybrid work-from-home arrangement.

Key Responsibilities:
  • Assist in the collection of information and preparation of licensing and registration documentation for the organization.
  • Monitor and report on over 200 licenses and registrations.
  • Provide prompt and professional responses to internal and external inquiries.
  • Maintain the licensing calendar for various departments.
  • Perform routine clerical tasks, including filing forms and records with the Secretary of State for foreign LLC and d/b/a registrations.
  • Ensure accurate and comprehensive filing and documentation.
  • Collaborate with the Compliance and Legal teams to enhance operational efficiencies.
  • Proactively meet deadlines.
  • Execute ad-hoc projects as assigned.
Qualifications:
  • High School Diploma or GED.
  • A minimum of three years of experience in administrative support.
  • Proficient in Microsoft Office, particularly Excel and Teams.
  • Strong time management and organizational skills, with a keen attention to detail and a commitment to follow-up.
  • Able to manage multiple administrative tasks in a fast-paced environment.
  • Effective verbal and written communication skills.
  • Ability to handle confidential corporate information discreetly and professionally.
  • Capable of working independently to complete tasks.
Preferred Qualifications:
  • Experience interacting with government officials and state agencies, as well as familiarity with the Nationwide Multi-State Licensing System ("NMLS").
  • Current notary status or the ability to obtain notary certification.
  • Prior experience with loan servicers and/or collection agencies.
