**Job Summary**

Visium Resources, Inc. is seeking a highly skilled Administrative Assistant to provide administrative support and assistance to management and/or professional staff. The ideal candidate will have excellent organizational and communication skills, with the ability to work independently and as part of a team.

**Key Responsibilities**

  • **Maintain Accurate Records**: Ensure that all records are up-to-date and accurately maintained within the organization's current software.
  • **File Management**: Manage both hard copy and electronic files, ensuring that all documents are properly stored and easily accessible.
  • **Project Coordination**: Track and support coordination with teams, ensuring that all projects are completed on time and to a high standard.
  • **Administrative Support**: Assist with the preparation of meetings, take notes during meetings, and send follow-up reminders as needed.
  • **Real Estate Transactions**: Communicate and track real estate transactions, including fee simple, easements, releases, leasing, and/or subordinations, with sellers, attorneys, associations, consultants, and other governmental agencies.
  • **Document Retrieval**: Assist in securing documents necessary to complete assigned projects.
  • **Project Monitoring**: Track, maintain, and monitor project files, information, project reports, contact records, instruments, and contract provisions.

**Requirements**

  • **Project Management Skills**: Strong project management skills, with the ability to plan, organize, and coordinate work projects.
  • **Attention to Detail**: Detail-oriented, with the ability to plan, organize, and coordinate work projects.
  • **Real Estate Knowledge**: Experience with or the ability to learn basic real estate transactions.
  • **Communication Skills**: Strong written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
  • **Time Management**: Ability to manage competing priorities, work well under pressure, and remain flexible to constantly changing schedules and demands.
  • **Technical Skills**: Experience with Microsoft Office suite and the ability to learn in-house software within 6 months of hire.
  • **Physical Demands**: Ability to lift file boxes weighing up to 35 pounds and type at the rate of forty (40) correct words per minute.
  • **Education**: Graduation from high school or equivalent and four years of administrative experience; or an equivalent combination of relevant education and experience.
