Position Overview:

The Healthcare Patient Coordinator is essential in delivering exceptional patient service and ensuring effective communication with patients both over the phone and in person. This role involves supporting various aspects of patient care, including appointment scheduling, check-in/out processes, and maintaining accurate patient records. The ideal candidate will exhibit a high degree of energy, confidence, and professionalism. As a vital member of the front office team, this position guarantees outstanding patient experiences through professionalism, courtesy, organization, and attention to detail. The candidate will collaborate with Physicians, Physician Assistants, and Aestheticians to coordinate comprehensive patient care. Previous experience in a medical environment or medical spa is highly valued.

Key Responsibilities:
  • Manage incoming calls and schedule patient appointments efficiently.
  • Respond to all incoming emails promptly, within a 4-hour timeframe.
  • Coordinate scheduling for specialized procedures.
  • Assess potential patients and convert inquiries into consultations.
  • Organize and document all incoming patient leads.
  • Utilize the practice's EMR system to manage patient information effectively.
  • Facilitate the check-out process for patients purchasing products.
  • Scan and maintain all patient-related documentation.
  • Ensure patient demographic information is current at check-in.
  • Oversee product shipments to patients.
  • Possess a thorough understanding of all treatments and products available in the practice.
  • Execute opening and closing office procedures, including balancing the point-of-sale system.
  • Educate patients about skincare products and promote their benefits.
  • Collect co-payments and outstanding patient balances during visits.
  • Manage points for loyalty programs.
  • Prepare daily administrative paperwork.
  • Communicate with patients in a professional and courteous manner.
  • Adhere to HIPAA privacy regulations.
  • Monitor and manage product inventory as needed.
  • Update patient email addresses in the database.
  • Perform additional duties as assigned by management.
Education and Experience Requirements:

A minimum of a high school diploma and 5 years of experience in a retail or front office setting.

Experience in a medical office or medical spa is preferred.

Skills and Qualifications:

Proficient in Office 365 applications, including Word and Excel.

Familiarity with EMR and POS systems.

Excellent organizational skills.

Commitment to attending all special events and meetings.

Ability to work effectively in a team-oriented environment.
