Client Relations Coordinator

A prominent and forward-thinking plaintiff's trial law firm is seeking a skilled and engaging Intake Specialist to enhance their operations within the call center environment. The Intake Specialist plays a vital role in client engagement, being the initial point of contact for clients reaching out for assistance. This position is essential in creating a welcoming atmosphere, ensuring that clients feel at ease and initiating a positive journey, as this first interaction significantly influences the client's overall experience and the firm's reputation.
Beyond the responsibilities of an intake agent, the specialist will also serve as an interim manager in the absence of the Contact Center Supervisor. This role includes mentoring and supporting fellow team members. The position is full-time and requires availability for various shifts.
Key Responsibilities:
- Collect pertinent information from new and potential clients, including medical and criminal histories, incident reports, and investigative findings.
- Document the client's background and their reasons for seeking legal assistance.
- Provide reassurance to clients who may be feeling confused, distressed, or anxious, while asking insightful questions to gather relevant legal information.
- Ensure that all necessary forms are accurately completed and signed.
- Assist in training and supporting team members as needed.
- Maintain confidentiality of all client information.
- Coordinate appointments and schedules effectively.
- Gather insurance or billing details as required.
- Manage paperwork processing efficiently.
- Respond to incoming inquiries through various communication channels, noting critical information.
- Follow up with clients to share essential updates.
Qualifications:
- High school diploma and/or GED is required.
- Experience in legal settings, customer service, contact centers, or related fields is essential.
- Exceptional interpersonal skills and a passion for engaging with clients over the phone.
- Outstanding customer service abilities.
- Strong oral and written communication skills.
- Proficient computer skills.
- Meticulous attention to detail.
- Possess a positive demeanor and uphold high ethical standards.
