We are seeking a highly skilled Corporate Events Coordinator to join our team at PRA Business Events.

Salary & Location

The estimated salary for this position is $65,000 - $85,000 per year, depending on experience. This role is based in Plantation, FL, and requires occasional travel within the South Florida area.

Job Description

The Corporate Events Coordinator will support the Sales, Proposal Development, and Event Production functions for a select segment of our business. This hybrid role involves working independently and collaboratively with clients, suppliers, and internal teams to develop and deliver events that exceed client expectations.

Key Responsibilities

  • Sales Functions:
    • Enter and maintain salesforce data, including revenue, gross profit, and probability updates
    • Manage client accounts and communicate effectively
    • Facilitate client discovery and lead qualifying calls
    • Generate and maintain proposal request forms
    • Plan and attend site visits as needed
    • Review proposals with clients
    • Generate program services agreements and necessary addendums
  • Proposal Development Functions:
    • Develop client proposals and edit as needed until finalization
    • Contact suppliers for availability, pricing, etc.
    • Maintain program financials, including costing, client invoicing, etc.
  • Operations Function:
    • Schedule planning visits as required
    • Manage supplier/venue relationships, including negotiations and contracting
    • Develop on-site staffing plans
    • Create program production packets and distribute to staff as needed
    • Manage supplier invoicing, including generation and system input for processing
    • Organize, schedule, and attend pre-convention meetings (precons)
    • Execute events on-site, including hotel communication
    • Submit outstanding supplier invoices for processing
    • Send PPE surveys to clients

Qualifications

  • Bachelor's degree or equivalent relevant experience
  • 2+ years of experience in overseeing corporate meeting execution, client events, and complex programs with DMC, corporate incentive travel, hospitality, or related experience preferred
  • Excellent interpersonal and communication skills
  • Ability to analyze and interpret client proposal requirements, contracts, financial reports, and other legal documents
  • Effective presentation skills and ability to respond to questions from clients, suppliers, and hoteliers
  • Ability to multitask and work on multiple programs with different deadlines
  • Collaborative mindset and ability to work well with all levels of management and staff, hoteliers, and suppliers
  • Working knowledge of local attractions, hotels, parks, venues, and suppliers
  • Able to work flexible hours, including weekends, evenings, and holidays
