Job Summary

We are seeking a highly organized and detail-oriented Assistant Manager to join our team at Newbury Living. As a key member of our property operations team, you will be responsible for ensuring the smooth day-to-day operations of our properties, providing exceptional customer service to our residents, and maintaining a high level of professionalism in all interactions.

Key Responsibilities
  • Property Management
    • Market the property through various channels, including yard signs, flyers, and brochures, to attract potential residents.
    • Visit local businesses and employers to promote the property to their employees.
    • Respond to inquiries and follow up with leads in a timely and professional manner.
    • Accurately relay property information, including pricing, availability, and amenities, to potential residents.
    • Schedule and conduct tours of the property and units.
    • Maintain a call log for lead tracking and complete guest cards for every tour conducted.
    • Accept housing applications, ensuring they are accurate and complete.
    • Process credit, criminal background, and landlord reference checks thoroughly, accurately, and fairly.
    • Maintain and update waiting lists, making calls to wait-listed prospects when apartments become available.
  • Resident Relations
    • Present an outgoing, cheerful, and confident demeanor at all times.
    • Be available and responsive to resident inquiries and concerns in a timely and professional manner.
    • Coordinate with maintenance technicians on turnovers, ensuring the scope of work and timing are met.
    • Schedule and conduct move-in and transfer meetings with approved applicants.
    • Thoroughly explain the lease, rules, and regulations, as well as all addenda and program-specific documents, to residents.
    • Enforce provisions set forth by the property's Lease and Rules & Regulations.
    • Write, serve, and follow up on legal notices for lease violations and non-payment of rent.
    • Make small claims filings and attend court proceedings for evictions.
    • Monitor and schedule use of common and/or community areas and amenities.
    • Respond to emergencies in a timely fashion to prevent damage to the building or equipment and maintain the safety and well-being of residents.
    • Provide admittance when a resident has locked themselves out.
    • Perform regular apartment inspections according to district schedule and follow up on lease violations.
    • Accept service requests from residents accurately.
    • Handle tenant complaints in a professional manner, compliant with Company policy, Fair Housing laws, and program rules.
    • Obtain 3rd-party verifications of income, assets, and expenses, submitting them to appropriate personnel for approval.
    • Conduct move-out inspections with a maintenance technician and the resident, if available.
    • Conduct annual and interim recertification procedures, as required by the property program.
  • Administrative Tasks
    • Collect, process, and deposit rent payments.
    • Compose and distribute resident communications, including newsletters, memos, and notices.
    • Perform other administrative tasks as assigned by the District Manager.
  • Compliance and Cleaning
    • Obtain 3rd-party verifications of income, assets, and expenses, calculating income and determining program eligibility for applicants/residents.
    • Submit certifications to Windsor Compliance for approval.
    • Submit move-in and annual recertification files to Windsor for review.
    • Perform regular cleaning tasks, including office areas, restrooms, community buildings, and common areas, to maintain the appearance of the property.
    • Remove snow from sidewalks, salting and sanding as necessary, according to Newbury standards.
    • Maintain flower beds and landscaping throughout the property, including planting, weeding, and watering.
    • Collect and deposit laundry money on the 1st of each month, according to Newbury procedures.
    • Perform lawn care tasks, including mowing and trimming grass, as necessary.
  • Other Responsibilities
    • Assist the District Manager with other duties as assigned.
    • Participate in company-required trainings to learn and maintain property program requirements.
    • Adhere to company requirements for file management, office organization, and resident file setup.
    • Obtain and maintain any company-required certifications, including successfully passing exams when necessary.
