Job Summary

The Administrative Assistant plays a vital role in supporting the Inland Real Estate Group Finance Department by performing a wide range of administrative tasks. This position requires a high level of organizational skills, attention to detail, and effective communication to ensure seamless day-to-day operations.

Key Responsibilities
  • Coordinate travel, expense reporting, and appointment schedules for senior management and team members.
  • Assist with the onboarding process for new employees, ensuring a smooth transition into the finance team.
  • Manage incoming and outgoing mail, scanning and distributing documents as needed.
  • Prepare and send check copies and documentation to third-party property managers.
  • Maintain and update files, spreadsheets, and logs with current data.
  • Distribute files and logs as required.
  • Facilitate the year-end confirmation process for audit cycles.
  • Back up check deposits to the cash management department.
  • Download bank statements from banking platforms.
  • Assist with gathering data for cash availability requests.
  • Follow up on outstanding W-9 requests.
  • Track receipt and deadlines of property-level financials for internal and third-party property managers.
  • Maintain third-party contact listings.
  • Aid in gathering information for input into Yardi.
  • Maintain assignment of entity/portfolio/property listings.
  • Maintain team shared calendars.
  • Track team PTO to assist in redistributing work.
  • Assist other departments as needed.
Qualifications
  • High School diploma, GED, or equivalent professional knowledge and/or work experience.
  • Associate Degree in Business Administration preferred.
  • At least 2+ years of prior professional experience in providing administrative support, preferably in commercial real estate.
  • Intermediate skills in Microsoft Word, Excel, PowerPoint, and Outlook required.
  • Keyboarding skills of at least 35 WPM required.
  • Intermediate knowledge of IManage Share and Yardi.
