Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Chapel Hill Gardens South Funeral Home & Cemetery. As an Administrative Coordinator, you will provide administrative and clerical support to our funeral home and cemetery operations.

Key Responsibilities

  • Administrative Support
    • Provide reception duties, including greeting and meeting with families
    • Verify at-need files before meeting with families
    • Perform blind checks and follow up with memorial renderings, processes, and timelines
    • Prepare marker monument placement paperwork and design memorials
    • Notify families when flowers are placed and set arrangement continuation appointments
  • Cemetery Operations
    • Support at-need cemetery families and stand graveside services
    • Log information for Family Service Counselors and prepare and process Veteran's paperwork
    • Ensure required documentation is accurate and complies with state/federal regulations and company rules
    • Receive and process payments and contracts, and process accounts payable transactions
  • Customer Service
    • Communicate client family's needs promptly and accurately to the appropriate staff member
    • Convey a sense of concern and empathy with client family members at all times
    • Respond to customer inquiries via telephone, internet, and in person
  • Team Collaboration
    • Assist Location Management, Sales, and Family Service Counselors
    • Maintain professional and cooperative relationships with county clerk, medical examiner, and physicians

Requirements

  • Education
    • High School or equivalent
  • Experience
    • 1-2 years of experience in an office clerical or customer service capacity required
    • Experience working in a customer-focused and fast-paced professional environment required
  • Skills and Abilities
    • Flexible schedule - MUST be available to work weekends
    • Working knowledge of office equipment, including computers, calculators, copiers, printers, and fax machines
    • MS Office Suite experience preferred
    • Basic mathematics skills required
    • Good verbal and written communication skills
    • Strong organizational skills and detail-oriented
    • High level of compassion and integrity
    • Ability to maintain confidentiality
