This position plays a vital role in enhancing our operational efficiency through precise data management, administrative support, and budgetary assistance.

Key Responsibilities:

  • Manage job and material cost accounting, ensuring precise tracking and reconciliation of time and material accounts.
  • Generate and develop reports as required to facilitate operational and strategic decision-making.
  • Oversee the organization and maintenance of both physical and digital files, ensuring data accuracy and integrity.
  • Conduct data entry tasks with exceptional accuracy and meticulous attention to detail.
  • Support the coordination of administrative functions, including clerical responsibilities.
  • Gather and analyze information to assist with various projects and initiatives.
  • Contribute to budgetary processes by collecting and organizing relevant administrative data.
  • Prepare sensitive documents and reports, ensuring confidentiality is maintained.
  • Document detailed meeting minutes and ensure proper distribution and archiving.
  • Organize and schedule meetings and conferences, managing all logistical aspects effectively.
  • Maintain an adequate supply of office materials and ensure inventory records are accurate.
  • Assist with additional administrative tasks and projects as necessary.

Qualifications:

  • Demonstrated experience in an administrative role or similar position, with strong analytical capabilities.
  • Proficient in the MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in job and material cost accounting and time and material account reconciliation.
  • Exceptional data entry skills with a strong emphasis on accuracy and detail.
  • Excellent organizational and time management abilities.
  • Capability to maintain confidentiality and manage sensitive information.
  • Strong written and verbal communication skills.
  • Able to work independently as well as collaboratively within a team.
  • Effective problem-solving skills and the ability to prioritize tasks efficiently.
  • Familiarity with budgetary processes and financial documentation.

Preferred Qualifications:

  • Experience in a shipyard or industrial setting.
  • Knowledge of inventory management and office supply oversight.
  • Additional training or certification in administrative or financial management.
