Position Overview:

The Patient Support Services Representative is accountable for training across various roles within Patient Support Services, encompassing Scheduling, Referrals, Diagnostics, Medical Records, Patient Care Coordination, and Lab Tracking. This role requires flexibility to assist in the department as needed on a daily basis.
KEY RESPONSIBILITIES:

Specific Duties:
  • Respond to incoming calls with professionalism, utilizing appropriate greetings.
  • Efficiently manage call volume by answering within two rings.
  • Coordinate patient appointments, ensuring optimal scheduling and adequate time for complex procedures.
  • Screen and direct calls to relevant personnel as required.
  • Conduct follow-up calls or transfer inquiries to front office staff or Patient Care Coordinators.
  • Delegate tasks to Nurses or Medical Assistants for patient inquiries.
  • Provide information regarding appointments and financial assistance options.
  • Facilitate appointment rescheduling as necessary.
  • Update patient demographic records in the electronic system.
  • Engage effectively with patients, families, physicians, and colleagues to enhance patient outcomes.
  • Collect payment details for account settlements.
  • Ensure timely and accurate filing of patient-related documents and records.
  • Manage order tracking and processing of received correspondence.
  • Sort and distribute incoming mail.
  • Handle requests for medical record releases.
  • Coordinate specialty and diagnostic referrals promptly upon request.
  • Verify diagnosis codes for compliance with insurance requirements.
  • Schedule tests for patients and provide necessary instructions.
  • Confirm insurance coverage and secure prior authorizations as needed.
  • Ensure acceptance of insurance plans by specialists.
  • Compile and submit required medical documentation to specialty offices.
  • Communicate referral details to patients and healthcare providers.
  • Document all referral and appointment information in the electronic medical record system.
  • Verify receipt of diagnostic reports by the office.
  • Conduct outreach for patients not adhering to provider directives.
  • Record instances of patient non-compliance in the system.
  • Address patient concerns promptly to ensure satisfaction.
  • Inform patients of lab results and diagnostics.
  • Collaborate with pharmacies and providers to ensure medication safety.
  • Maintain knowledge of community resources.
  • Facilitate care coordination with various service providers.
  • Maintain required licenses and certifications.
  • Document all patient interactions in the electronic system.
  • Complete logs for protected health information as per policy.
  • Investigate and resolve patient barriers to care.
  • Create a welcoming environment through exceptional customer service.
  • Adhere to telephone etiquette standards during patient interactions.
  • Support clinical staff in delivering patient care.
  • Generate lab tracking reports as needed.
  • Perform additional duties as assigned.

  • Ensure timely documentation of all tasks.
  • Uphold patient confidentiality at all times.

  • Work efficiently and collaboratively with colleagues.

QUALIFICATIONS:

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent is required. One year of experience in a medical office setting is preferred. Certification as a Registered Medical Assistant (RMA) or Certified Medical Assistant (CMA) is desirable.
