The Patient Support Services Representative is integral to the operations of Grace Healthcare Services, providing essential training across various roles within the department, including Scheduling, Referrals, Diagnostics, Medical Records, Patient Care Coordination, and Lab Tracking. Key Responsibilities:
- Respond to incoming calls with professionalism, ensuring proper greetings and clear communication.
- Efficiently manage call volume to the support center, aiming to answer within two rings.
- Schedule patient appointments while ensuring optimal placement and sufficient time for special procedures or extensive examinations.
- Screen and redirect calls to appropriate staff members as necessary.
- Conduct follow-up calls and assist in transferring inquiries to front offices or Patient Care Coordinators.
- Assist patients with information requests and address concerns regarding appointments and payment options.
- Update patient demographic data in the electronic medical record system.
- Engage effectively with patients, families, healthcare providers, and colleagues to enhance patient outcomes.
- Collect and process payment information for patient accounts.
- Ensure timely and accurate filing of patient documents and health records.
- Manage incoming mail and coordinate the release of medical records as required.
- Facilitate specialty and diagnostic referrals promptly, ensuring compliance with insurance guidelines.
- Verify insurance coverage and obtain necessary authorizations for services.
- Assemble and submit required medical documentation to specialty offices.
- Document all interactions and referral information in the electronic medical record system.
- Conduct outreach to patients who have not complied with provider orders.
- Maintain confidentiality and adhere to policies and procedures of the organization.
- Demonstrate exceptional customer service, creating a welcoming environment for patients and visitors.
- Collaborate with clinical staff to support patient care initiatives.
- Participate in quality improvement activities to enhance service delivery.
To excel in this role, candidates should possess a high school diploma or equivalent, with a preference for individuals with one year of experience in a medical office setting. Certification as a Registered Medical Assistant (RMA) or Certified Medical Assistant (CMA) is also preferred.
