Spruce Point Inn is a unique resort, celebrated for its picturesque setting and rich heritage, offering an iconic coastal Maine experience.


Located about an hour from Portland, our resort is distinguished by its stunning oceanfront views, expansive woodlands, gardens, and trails, providing a genuine retreat.



Position Overview:


We are in search of a dynamic, detail-oriented individual with a background in event catering to fill the role of Catering Sales Coordinator.

This position is crucial in supporting the Director of Sales and ensuring the flawless execution of our services, which sets us apart in the hospitality industry.

The ideal candidate will cultivate positive interactions with guests and team members, anticipate needs, and provide accurate information regarding our resort and special events.

Your Key Responsibilities:


• Detail and promote all facets of events, including menu selections, room arrangements, vendor coordination, and more.
• Ensure precision in Banquet Event Orders (BEOs), including guest counts, timelines, event spaces, and pricing.
• Coordinate and guarantee the successful execution of all programs and services contracted through the catering department.
• Identify areas for enhancement and collaborate with operational departments, particularly banquet services and culinary teams, to address any issues.
• Foster relationships with external vendors to optimize service standards and profitability.
• Demonstrate a genuine commitment to guest satisfaction and organizational success through active engagement and productivity.
• Ensure accuracy in post-event invoicing.
• Assist in creating estimates, Banquet Event Orders, and scheduling site tours.


Preferred Qualifications:
• Associate's degree preferred.
• Minimum of 2 years' experience in Catering Sales or similar high-end catering environments.
• Proficient in Property Management Systems (PMS).
• Skilled in MS Office Suite – Word, Excel, PowerPoint, Publisher, etc.
• Strong verbal and written communication skills.
• Ability to work independently and collaboratively to achieve objectives.
• Capacity to thrive in a fast-paced, multitasking environment.
• Flexibility to work weekends, evenings, and holidays as needed for events.

Qualifications:
• High School Diploma; 2 years of secretarial/business school experience preferred.
• Previous secretarial experience desired.
• Typing speed of 40 wpm and strong word processing skills.
• Excellent organizational and time management skills; self-motivated with the ability to manage multiple tasks.
• Strong verbal and interpersonal skills, with a cooperative and flexible approach to working with staff and customers.
• Professional demeanor and appearance are essential.
