You will plan, coordinate resources and vendors, and implement event strategies that align with the family's preferences and contractual agreements. Clear communication of instructions, expectations, budgets, and deadlines to vendors and support staff is essential.
KEY RESPONSIBILITIES
Event Coordination
Organizes events by reviewing contracts and consulting with the Funeral Director for clarification.
Schedules internal resources, including but not limited to, adequate facility space for the event size, equipment, tables, chairs, podiums, decorations, vehicles, drivers, and attendants.
Contacts and coordinates with vendors, clearly communicating expectations, budget, and timelines.
Manages the implementation of service arrangements (visitation, funeral, reception, or graveside) as per contractual agreements.
Inspects vendor products and addresses any issues that arise.
Provides instructions to support staff for setup, work assignments during events, and cleanup.
Works alongside support staff to set up arrangements and may assist with event support.
Available during events to troubleshoot any issues.
Ensures events meet or exceed the family's expectations.
Handles various event planning tasks such as ordering memorabilia, stationery, scanning photos, coordinating electronic presentations, music, or drafting obituaries.
Administrative Duties
Collaborates with Corporate Products to source local vendors for catering, floral arrangements, and other local service products.
Obtains pricing and ensures that inspections are compliant and business practices are in good standing.
Develops catering menus.
Works with Corporate Products to follow guidelines for vendor contract and pricing approval.
Maintains vendor Key Performance Indicators and metrics regarding contract compliance.
Creates and updates the Event Playbook, including event plans, KPIs, and lessons learned.
Documents areas for improvement and reviews with management to implement enhancements.
Additional responsibilities as assigned.
MINIMUM REQUIREMENTS
Education
Associate's degree in hospitality, event planning, or a related field is required. Two (2) years of event planning experience may be considered in lieu of a degree.
Experience
At least one (1) year of event planning or catering experience is strongly preferred.
Knowledge, Skills, and Abilities
Proficient in MS Office and computer literate.
Able to utilize proprietary software for administrative tasks.
Work Conditions
Work Environment
Primarily indoors, with some outdoor work required in various weather conditions.
Professional attire is required when interacting with families.
Work Postures
Frequent periods of sitting or standing for up to 6 hours per day.
Occasional climbing of stairs to access buildings.
Physical Demands
Physical effort requiring manual dexterity is necessary, including paperwork, calculators, computers, and phone usage.
Work Hours
Flexibility in availability is essential.
Standard hours include nights and weekends, which is when most services occur.
Typically, less than 20 hours a week is worked M-F 8am-5pm.
Limited local and/or multiple location travel may be required.
