Financial Operations Accountant

The Financial Operations Accountant is responsible for managing student tuition transactions, processing vendor invoices, and delivering exceptional customer service to students, faculty, and staff.
SUPERVISION RECEIVED:
Operates under the general guidance of the Business Office Manager.
SUPERVISION EXERCISED:
No supervisory responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsible for collaborating with the collection agency to deposit checks and/or prepare requisitions monthly. This includes posting payments to student accounts and updating records within the financial system.
Handle disputes received from the collection agency.
Process Parent Plus Loans issued by Financial Aid prior to student refunds and other financial aid disbursements.
Manage weekly student refunds and process requests as needed.
Assist the Business Office Manager in applying financial holds as necessary throughout the semester.
Establish daily processes to accurately determine student billing.
Collect, organize, and verify the accuracy of financial data before entering Accounts Payable.
Ensure data entered matches the information provided to the department.
Maintain comprehensive records of all data entered into the financial system.
Communicate effectively, both in writing and verbally, with various vendors, contractors, and service providers to address billing issues, resolve discrepancies, and manage accounts.
Respond to inquiries from business office calls from staff, faculty, and students, providing information or directing them to the appropriate personnel.
Clearly communicate policies and procedures regarding reimbursements, advances, and payables to faculty, staff, and students.
Process invoices and generate checks and direct deposits for timely payments.Manage grant checks and auto withdrawal requests for appropriate deposits.
Record indirect cost allocations and match journal entries.
Oversee accounts payable and receivable activities for grant subcontracts.
Collaborate with grant project directors to set up grants for financial processing and reporting.
Provide regular reports to grant stakeholders.
Monitor time and effort for accurate reporting.
Ensure compliance with internal policies related to grant funds.
Perform other duties as assigned in support of the Business Office as directed by the Business Office Manager.

MINIMUM QUALIFICATIONS:
Education and Experience:
(A) Associate's degree and/or certification in accounting, business management, finance, or a related field; and
(B) One (1) year of relevant financial experience; or
(C) An equivalent combination of education and experience.
Preferred
Education and Experience:
(A) Bachelor's degree in accounting, business management, finance, or a related field;
(B) Two (2) to three (3) years of progressively responsible experience; and/or
(C) Prior experience with integrated financial software systems.
Necessary Knowledge, Skills, and Abilities:
Extensive knowledge of computers and electronic data processing, including spreadsheets and word processing; proficiency in operating office equipment.
Ability to gather, analyze, and interpret data.
Ability to communicate clearly and concisely, both verbally and in writing.
Knowledge of university financial processes and policies. Ability to maintain confidentiality regarding sensitive data and records.
Ability to establish and maintain working relationships with faculty, staff, and students.
Ability to exercise sound independent judgment when addressing inquiries and directing them to the appropriate supervisor if necessary.
Ability to manage multiple tasks and projects simultaneously while meeting deadlines.
Ability to anticipate the information needs of faculty and staff related to grants and respond to new situations effectively.
Must demonstrate a high level of accuracy and attention to detail.
Excellent interpersonal, problem-solving, and organizational skills.
Ability to quickly learn new software and technologies.
Knowledge of basic accounting principles; familiarity with federal grant accounting standards is a plus.
TOOLS AND EQUIPMENT USED:
Familiarity with various office equipment, including personal computers, spreadsheet and word processing software, adding machines, fax machines, copiers, telephones, scanners, and printers.
