Role Summary: The Administrative Operations Associate will be instrumental in facilitating daily business functions by delivering extensive administrative support, organizing travel logistics, and aiding in procurement processes. The ideal candidate will possess exceptional organizational skills, demonstrate efficiency, and be adept at juggling various responsibilities. This role will report directly to the Senior Manager of Procurement & Lab Operations and collaborate closely with other administrative staff within Biomason.

This is a part-time position with a flexible schedule, ideally suited for candidates available Monday through Friday from 1 PM to 5 PM.

Key Responsibilities:

  • Travel Management (40%):
    • Coordinate and oversee travel plans, including flights, lodging, and transportation for team members.
    • Ensure travel arrangements comply with company policies and budgetary guidelines.
    • Address travel-related inquiries and resolve any issues efficiently.
  • Procurement Support (40%):
    • Assist in the procurement process by generating purchase requests and maintaining accurate procurement documentation.
    • Communicate with vendors and suppliers to guarantee timely delivery of products and services.
    • Help manage relationships with suppliers to ensure quality service.
  • General Administrative Support (20%):
    • Contribute to maintaining a tidy office environment.
    • Assist in receiving deliveries and managing office supplies.
    • Support office events, meetings, and employee engagement activities.
    • Provide assistance with additional administrative tasks as needed.

Qualifications:

Currently pursuing an Associate's or Bachelor's degree from an accredited institution, or possess 1-2 years of relevant experience.

Required Skills:

  • Demonstrated experience in an administrative or support capacity, ideally in a fast-paced environment.
  • Strong organizational and multitasking abilities with a keen eye for detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Gmail).
  • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is advantageous.
  • Experience with travel booking systems and procurement software is a plus.
  • Ability to work independently and collaboratively within a team, showcasing flexibility and adaptability.
  • Strong problem-solving capabilities and the ability to manage sensitive information with confidentiality.

Physical Requirements:

  • Ability to remain in a stationary position for extended periods, either sitting or standing.
  • Repetitive wrist movements.
  • Mobility to perform various tasks.
  • Effective communication skills for information exchange.
  • Capability to lift up to 25 lbs.

Work Environment:

  • Standard office setting.
