Role Summary:
The YMCA operates as a year-round food sponsor, providing nutritious meals across various locations. As a recognized sponsor under the Massachusetts Department of Elementary and Secondary Education, we facilitate the Summer Food Service Program (SFSP) and the Child and Adult Care Food Program (CACFP).

We are currently seeking a Program Manager of Sponsored Meals to lead our initiatives in this area. This is a full-time exempt role that offers a competitive salary based on experience and qualifications. The position requires in-person site visits.

Key Responsibilities

The Program Manager of Sponsored Meals is responsible for overseeing the execution of CACFP and SFSP, which includes training and onboarding for YMCA sites and partner organizations.

Site Administration & Coordination:

  • Develop training materials for site staff regarding SFSP and CACFP.
  • Conduct training sessions covering:
    • Program overview and operational requirements
    • Record keeping (meal counts, attendance, delivery slips)
    • Utilization of the My Food Program (MFP) platform for data management
    • Monitor and track attendance of staff for required training sessions.
  • Manage the recordkeeping system for SFSP and CACFP.
  • Ensure proper utilization of My Food Program by all sites.
  • Review documentation for accuracy and follow up with sites that have not submitted data weekly.

Compliance and Monitoring:

  • Evaluate Household Income Eligibility Forms to assess participant eligibility for CACFP and SFSP.
  • Conduct regular site visits to ensure compliance with program standards and address any identified issues.
  • Maintain records of all site reviews and monitoring visits, ensuring compliance and corrective actions are documented.

Vendor Management:

  • Submit weekly meal orders to vendors and ensure adherence to contract requirements.
  • Review and approve vendor menus and maintain necessary documentation.
  • Verify vendor invoices for accuracy and submit to the Director of Business Operations.
  • Facilitate communication between food service vendors and program sites.
  • Track amendments to SFSP and CACFP applications for approval.

Program Development:

  • Stay informed about federally funded, state-run program requirements for CACFP and SFSP, communicating updates to all stakeholders.
  • Participate in USDA and DESE training sessions and webinars.
  • Provide technical assistance to program sites to ensure efficient and ethical operation of CACFP and SFSP.
  • Foster strong partnerships with all involved sites and stakeholders.
Qualifications

Education: Bachelor's Degree required.

Experience:

  • Familiarity with state and federal guidelines and regulations preferred.
  • Experience in monitoring and evaluating grant-funded programs is advantageous.
  • Proven track record in program management and food safety knowledge (ServSafe Certification).

Skills:

  • Proficient in Microsoft Office, particularly Excel.
  • Strong organizational skills to manage multiple sites and maintain program data.
  • Excellent interpersonal, written, and verbal communication abilities.
  • Detail-oriented with a focus on accuracy and deadlines.
  • Ability to work independently in a dynamic environment.
  • Strong problem-solving skills and ability to handle complaints diplomatically.
  • Commitment to the YMCA's mission and a positive attitude towards working with children and the community.
  • A valid driver's license and access to a vehicle for site monitoring are required.
Physical Requirements

The physical demands of this role include regular standing, walking, and the ability to lift up to 10 pounds. Specific vision abilities required include close and distance vision.

Work Environment

This position involves working at various YMCA and partner food sites, requiring a full-time, in-person commitment.
