Corporate Legal Assistant

Job Summary
The Commercial Real Estate and Corporate Legal Assistant will provide secretarial support to the commercial real estate and corporate legal departments. This role requires the ability to work independently, handle telephone calls, prepare and edit documents, and maintain positive contact with clients, attorneys, and other staff members.
Responsibilities
- Conduct conflict-of-interest checks, open and organize new files, and manage all client and general corporate files.
- Manage the processing of incoming and outgoing mail, including filing incoming materials promptly and ensuring the timely dispatch of outgoing mail.
- Answer and direct telephone calls, recording accurate messages as needed.
- Prepare and edit documents drafted by attorneys, utilizing legal formats and terminology.
- Collaborate with other corporate department support staff to prepare annual minutes.
- Maintain the corporate client database, ensuring that all client information is current in both the database and corporate books and files.
- Perform additional tasks as requested, including document editing and other duties as needed.
Requirements
- Detail-oriented with excellent analytical capabilities to ensure accuracy and completeness of information and documents.
- Knowledge of legal principles, practices, and terminology for real estate and corporate transactions.
- Ability to read and write to proof and perform minor editing of routine legal correspondence.
- Excellent keyboarding skills and knowledge of Microsoft Office and document management applications.
- Ability to operate office equipment, including telephone, scanner/fax, photocopier.
- Highly organized, with the ability to manage multiple tasks, establish priorities, and meet deadlines.
Working Conditions
This position requires a normal office environment with little exposure to excessive noise, temperature, and the like. The incumbent may be required to sit extensively, stand or walk depending on attorney requirements, and lift under 10 pounds on a consistent basis and occasionally up to 40 pounds.
