Overview

Under general supervision, this role involves executing a range of standard and advanced financial and bookkeeping tasks.

Key Responsibilities

The following duties are essential to the role and may vary based on specific job requirements: Conducts audits and evaluations of various financial transactions and documents, identifies discrepancies, and resolves issues. Aids in the formulation of the organization's financial statements. Manages employee and vendor payments, cash disbursement reports, and other financial documentation. Develops, prepares, and maintains a variety of standard and custom financial reports utilizing different software applications. Oversees and monitors financial records, databases, and books; contributes to the development of accounting systems. Organizes and retrieves various documents and system reports. Prepares and processes data for computer entry; posts, codes, reconciles, reviews, totals, batches, and ensures accuracy. Reconciles balances, bank accounts, financial records, and reports. Assists in the creation and maintenance of necessary manuals and job process documentation. Records various financial documents such as invoices, checks, securities, and cash. Reviews the status of overdue accounts and communicates with clients. Provides customer service to both internal and external stakeholders.

Additional Responsibilities

Implements procedures and trains new staff members. Conducts physical inventory audits or inspections at various locations. Delivers deposits, reports, and tape files to financial institutions. Performs other related duties as assigned.

Work Environment

The position is based in a standard office setting and requires the use of typical office equipment, including computers and online collaboration tools.

Required Knowledge, Skills, and Abilities

Proficient understanding of advanced bookkeeping principles, concepts, terms, and processes. Familiarity with basic accounting principles and procedures. Knowledge of fiscal reporting protocols. Some understanding of internal auditing principles and techniques. Ability to compile, analyze, and summarize financial data. Strong organizational skills to manage work efficiently. Competence in performing arithmetic calculations related to bookkeeping and accounting tasks. Proficient in operating standard office equipment such as computers, calculators, and adding machines. Effective communication skills, both verbal and written.

Minimum Qualifications

A degree from an accredited college or university with an associate's degree in accounting, finance, or business, along with one year of experience in a role involving bookkeeping or accounting tasks.

Substitution Policy

Additional experience in bookkeeping or accounting roles may be substituted for the required education on a year-for-year basis. Certification as a Certified Public Accountant in Illinois, or a state with reciprocity with Illinois, may also be considered in lieu of the educational requirement.

Promotional Requirements

An associate's degree in accounting, finance, or business; or certification as a Certified Public Accountant in Illinois, or a state with reciprocity with Illinois. One year of service in the organization as an Administrative Specialist. Civil service status as an Administrative Specialist.
