Job Summary

We are seeking a highly organized and compassionate Veterinary Front Office Receptionist to join our team at Palisades Veterinary Hospital, an EverVet Partner. As a key member of our front office team, you will be responsible for providing exceptional customer service, managing patient records, and ensuring a smooth flow of operations.

Key Responsibilities
  • Manage the waiting room, greet clients, and handle client complaints in a professional and empathetic manner.
  • Prepare and process invoices, estimates, and payments in a timely and accurate manner.
  • Take digital photos of patients and send them to clients for use in their social media accounts.
  • Maintain the office equipment, including printers, paper stock, and toner cartridges.
  • Monitor and manage appointment requests, text reminders, and social media activities.
  • Take phone messages and monitor the prescription and food order extension.
  • Enter new clients and patients into the database and add scanned documents to patient histories.
  • Explain and guide clients through the process of applying for CareCredit.
  • Understand and manage account payable and monthly statements.
  • Manage end-of-day accounting and reconcile any discrepancies.
  • Call in written prescriptions to a pharmacy and complete all relevant medical records entries.
  • Assist in stocking exam rooms, treatment rooms, and surgery rooms as needed.
  • Help monitor inventory, rotation, and expiration dates and report needs as requested.
  • Assist in ordering food, supplies, and medications as requested.
  • Assist in maintaining the cleanliness of the hospital, including floors, walks, parking, and runs.
Requirements
  • High School Diploma or equivalent.
  • At least one year of experience in a customer-facing role, preferably in a veterinary clinic or animal care setting.
  • Strong customer service skills and ability to communicate effectively.
  • Ability to lift up to 50 pounds and stand for long periods.
  • Basic math and writing skills, as well as a basic understanding of medical terminology.
  • Knowledge of computer software, including Infinity and Office programs.
