Position Overview

The Loan Officer Assistant is a vital member of our team, responsible for supporting loan originators in assembling comprehensive loan applications for processing. This role encompasses various tasks related to the Lead to Contract process.

Key Responsibilities

Lead to Contract Duties:
  • Serve as the main contact for customers regarding licensed activities, supporting the loan officer.
  • Assist in scheduling appointments with potential and existing clients.
  • Ensure prompt follow-up on new leads, aiming for a 35% conversion rate from lead to appointment.
  • Manage the originator's calendar by setting and confirming appointments.
  • Provide administrative assistance by overseeing client databases (lead tracker, MyCircle, Zillow, etc.) and sending online pre-qualification links to new clients.
  • Support the originator in gathering accurate and complete loan applications.
  • Evaluate clients' credit and financial situations to recommend suitable loan products.
  • Conduct credit checks on assigned loans.
  • Prepare Initial Fee Worksheets based on AUS findings.
  • Organize web applications and update credit reports and AUS findings as necessary.
  • Request updates from pre-approved clients and referral sources on a weekly basis.
  • Stay informed about company-approved programs and software, implementing new systems for the team and clients.
  • Assist with marketing efforts by coordinating and distributing compliance-approved advertising materials.
  • Manage monthly email marketing campaigns directed at realtors.
Additional Responsibilities:
  • Act as the primary point of contact for customers, ensuring they are kept informed throughout the loan process, in compliance with company policies.
  • Price loans according to company guidelines and communicate fees to the operations team.
  • Quote rates and make commitments regarding loan locks to customers.
  • Maintain relationships with referral sources through timely responses and exceptional customer service.
  • Send thank-you notes to referral sources and new clients.
  • Collect necessary documentation from clients for pre-approval.
  • Discuss product features with clients and provide additional support as needed.
  • Perform other assigned duties as required.
  • Adhere to company policies regarding document submission and verification processes.
Qualifications:
  • High school diploma or equivalent preferred, with a minimum of two years of experience in mortgage lending or a related field.
  • Active MLO licensing is required.
  • Ability to manage multiple tasks effectively with strong attention to detail.
  • Exhibit a sense of urgency and responsiveness in all interactions.
  • Demonstrate a commitment to providing outstanding customer service.
  • Show patience and professionalism when dealing with clients and colleagues.
  • Proficient in data entry, PDF software, Microsoft Word, and Excel.
  • Strong verbal and written communication skills, along with basic math abilities.
  • Uphold ethical standards and align with company values.
Supervision:
  • This position does not have direct reports.
  • Requires minimal independent judgment; standard job responsibilities are executed with minor variations, escalating complex issues as needed.
Work Environment:
Travel: 0%
Physical Requirements: Primarily sedentary work in an office setting.
Manual Dexterity: Frequent use of computer keyboard and mouse.
Audio/Visual: Ability to interpret sounds and visual information accurately.
Environmental Conditions: Office environment with no significant exposure to adverse conditions.
