Job Title: Vendor Recruiting Assistant

The Vendor Recruiting Assistant plays a crucial role in supporting the business operations team by managing vendor relationships, ensuring compliance, and driving process improvements.

Key Responsibilities:
  • Manage day-to-day vendor management activities, including tracking, measuring, and reporting vendor performance.
  • Ensure compliance with applicable laws, regulations, rules, and procedures.
  • Organize and oversee the coordination and execution of deliverables.
  • Conduct onsite audit reviews of specific vendors, when applicable.
  • Report to stakeholders any negative findings and provide recommendations.
  • Develop, prepare, and monitor vendor scorecards.
  • Recommend process changes to improve ongoing controls and processes.
  • Lead vendor meetings and develop and manage various projects related to vendor management activities.
  • Manage termination of vendor relationships to ensure contractual obligations are met within timelines.
  • Initiate and complete onboarding of new vendors, creating new vendor profiles, and processing documents received.
  • Responsible for training new vendors on how to utilize systems, reporting needs and/or issues to HR Processor, and coming up with ways to retain new vendors and attract new personnel.
  • Update systems to reflect coverage needs, assist with payroll processing and issues, and maintain vendor files and compose reports for the department.
  • Report coverage areas to clients, respond to vendor complaints in a professional manner, and update weekly reports and documents coverage gaps.
  • Implement new ideas and processes to improve department efficiency, post ads on various job boards online, and utilize data and maps to determine which areas additional contractors are needed.
  • Develop and maintain relationships with vendors from the onboarding process forward, follow-up with account leads to ensure timeliness of the recruitment process, and design and implement the overall recruiting strategy.
  • Sourcing and attracting candidates by using databases, social media, etc., conducting interviews and filtering candidates for open positions, and maintaining vendor coverage for an assigned region.
  • Place ads and use various tools to market business and attract applicants, report to VM Processor to discuss needs, maintain networks used for communicating with potential vendors, and respond to interested applicants concerning job qualifications, compensation, and onboarding process.
  • Work closely with HR Reviewer to provide a specified number of recruits in a timely manner.

  • Attention to detail: Ensure accuracy and completeness in the processing of duties to ensure management has the proper information to manage the business.
  • Structure: Build out processes, procedures, and tools needed to document and standardize policies and procedures, driving these procedures throughout the organization.
  • Customer service: Poise and professionalism when interacting with employees, proactive communications to assist in training and education.
  • Problem-solving: Identify critical issues and process deficiencies.
  • Teamwork: Facilitate effective team interaction, acknowledge and appreciate each team member's contributions.
  • Excellent verbal and written communication skills, demonstrate strong leadership and people skills, ability to make decisions and handle multiple tasks within established timeframes maintaining accuracy and quality.
  • Excellent organizational and time management skills while making sound judgment and accurate decisions, ability to independently solve complex problems, thoroughness, and attention to detail is a must.

Minimum four years of mortgage servicing experience, minimum of one year of experience in vendor management, and proficiency with Microsoft Office are required.
