Position Overview
This role is integral to the IBC HRD Payroll Operations Division within the Office of the Secretary of the Interior. The selected candidate will provide essential clerical and administrative support to the Chief, Deputy Chief, and the entire Payroll Operations Division (POD) team. Responsibilities include addressing daily operational challenges within the POD.
Location Requirement
Please note: The incumbent is required to report in person to the designated duty station. This position does not offer a fully remote work option.
Key Responsibilities
- Execute clerical and administrative tasks, including greeting visitors, managing phone communications, and documenting notes from meetings and conference calls for distribution. Maintain the calendars of the Chief and Deputy, scheduling appointments as necessary.
- Act as the Lead Timekeeper, overseeing and supporting time and attendance reporting for the Payroll Operations Division.
- Organize and maintain filing systems, procure office supplies, and coordinate repair requests for office equipment and printing services.
- Prepare, review, and compile a variety of internal and external communications, reports, and training materials, ensuring adherence to procedural guidelines, grammatical accuracy, and proper formatting.
- Assist in processing personnel action requests, performance evaluations, awards, and disciplinary actions, along with their related administrative tasks.
- Coordinate travel arrangements for the POD, including the preparation of travel authorizations, booking airline and hotel accommodations, and managing travel reimbursements. Organize large conferences and teleconferences for training sessions or other gatherings.

Qualifications
For GS-06 Level: Candidates must possess one year of specialized experience equivalent to at least the GS-05 level. This experience should equip the applicant with the necessary skills to perform the duties of the position, typically related to administrative support. Examples include preparing and reviewing travel vouchers and time and attendance records for a small office, managing office supplies, maintaining calendars, composing basic emails and memos, and organizing official office files.
For GS-07 Level: Candidates must have one year of specialized experience equivalent to at least the GS-06 level. This experience should include preparing and reviewing travel vouchers and time and attendance records for multiple offices, managing supplies for a larger division, maintaining calendars for various events, composing complex correspondence, and applying organizational skills to administrative support tasks.
All experience must be obtained by the closing date of this announcement and includes both paid and unpaid work, including volunteer service.
