Primary Job Function:

As an Administrative Assistant within the Legal/OEC sector, you will extend administrative support to the Legal/OEC team, including DVPs, attorneys, directors, ECOs, and paralegals, as assigned.

Core Job Responsibilities:

1. This role provides comprehensive assistance to the Divisional Vice President (DVP) of Legal Operations and other members of the Legal/OEC team, as required.

2. Responsible for all administrative functions within the department, including calendar management, travel arrangements, expense report processing, document creation and modification, phone answering, and correspondence management.

3. Employ advanced software skills, including Microsoft Office Suite and other business-specific applications such as SharePoint, corporate travel, procurement, document management, and matter management systems, to effectively support the organization.

4. Candidates must exhibit outstanding written and verbal communication abilities.

5. Exercise sound judgment and maintain confidentiality when handling sensitive business information.

6. Regularly interact with high-level executives and collaborate with cross-functional teams on various projects and division-wide support initiatives.

7. Foster strong working relationships and networks to enhance efficiency within the supported organizations.

8. Provide basic project management assistance and support meeting/event coordination.

9. Conduct onboarding activities, including workspace preparations for new hires.

10. Prioritize tasks to ensure that departmental support requirements are met.

11. Maintain departmental files in compliance with corporate and governmental regulations, as assigned.

12. Possess intermediate knowledge and understanding of business processes and requirements.

13. Ensure compliance with applicable Corporate and Divisional Policies and procedures.
