We are seeking a highly skilled and experienced Office Manager/Administrative Assistant to join our team at Greeniverse in Lake Dallas, TX. This is a full-time position that requires the ability to work independently and as part of a team. The ideal candidate will have excellent communication and organizational skills, with experience in office administration and management.
About the Role
This role involves providing high-level executive support, administrative assistance, and accounting services to our President. The successful candidate will be responsible for organizing office operations, preparing documents, answering phone calls, conducting research, and maintaining filing systems.
Key Responsibilities
- Provide administrative support to the President and other team members
- Organize office operations, including preparing invoices, reports, and memos
- Analyze data and prepare papers for presentation by executives
- Maintain accurate records and filing systems
- Perform general office duties, such as ordering supplies and maintaining equipment
- Coordinate job sites, including new site coordination, permits, and vendor management
- Manage human resources, including 1099/W-2 employee maintenance, new hire orientation, and PPE requests
- Process accounting tasks, including AP, AR, collections, and receipt maintenance
- Track vendors, customers, and job sites, including invoicing, tracking, and corresponding
Requirements
- Bachelor's degree in Business Administration or related field
- 5 years of experience in office administration and management
- Advanced Microsoft Office skills (Word, Excel, Outlook)
- QuickBooks proficiency
- Excellent communication and organizational skills
- Able to multitask and work under pressure
