Automotive Title Clerk Position Overview

This document delineates the expectations and duties associated with the role of an Automotive Title Clerk within a multi-location dealership. Below is a comprehensive outline of the responsibilities and qualifications required for this position:

Key Responsibilities:

  • Title Processing Expertise: Prior experience in title processing is essential, including handling titles for various transactions such as retail sales, dealer exchanges, and wholesale transactions.
  • Electronic Lien Title Management: Responsible for retrieving Electronic Lien Titles (ELT) for trade packages.
  • Data Entry: Accurately input title numbers into the system for all received titles.
  • Missing Title Oversight: Manage and resolve issues related to missing titles.
  • Transaction Preparation: Prepare documentation for title processing transactions.
  • Trade Package Coordination: Organize trade packages as required.
  • Title Processing Management: Oversee the processing of titles for various vehicle transactions.
  • Invoice and Payment Posting: Responsible for posting Tag & Title invoices and ACH payments.
  • Scheduling: Manage schedules for tag and title processing activities.
  • Refund Processing: Issue checks for tag refunds as necessary.
  • Duplicate Title Applications: Apply for duplicate titles when required.
  • Inventory Control: Oversee inventory for metal and temporary tags, title and trade packages, and Manufacturer's Statements of Origin (MSOs).
  • Customer Registration Printing: Print registrations for customers.
  • Documentation Management: File titles, trade packages, and maintain title inventory effectively.
  • Support Services: Provide assistance for tag and title processing to guests, management, and staff.
  • Additional Responsibilities: Perform other tasks as assigned by the supervisor.

Qualifications:

  • Educational Background: A minimum of a high school diploma or GED is required.
  • Professional Experience: At least one year of experience in automotive title processing is mandatory. Familiarity with dealership accounting, UCS, and TitleTec/T21 is advantageous.
  • Technical Proficiency: Proficiency in MS Office Suite is necessary.
  • Notary Public Certification: Must be a certified Notary Public.
  • Deadline Orientation: Ability to understand and meet deadlines with a sense of urgency.
  • Professional Demeanor: A professional appearance and work ethic are essential.
  • Valid Driver's License: Must possess a current, valid driver's license and maintain a satisfactory Motor Vehicle Report (MVR).
