Position Overview:
This document outlines the essential qualifications and duties for the role of an Automotive Title Clerk within a multi-location dealership.

Key Responsibilities:
  • Title Processing Experience:
    Prior experience in title processing is essential, including handling titles for various transactions such as retail sales, dealer exchanges, and wholesale activities.
  • Electronic Lien Titles (ELT):
    Responsible for retrieving Electronic Lien Titles for trade documentation.
  • System Data Entry:
    Accurately input title numbers into the management system for all received titles.
  • Missing Title Management:
    Oversee and address reports concerning missing titles.
  • Deal Preparation:
    Prepare documentation for title processing of vehicle transactions.
  • Trade Documentation Preparation:
    As needed, prepare trade documentation.
  • Title Processing:
    Manage the processing of titles for various vehicle transactions.
  • Invoice and Payment Posting:
    Record Tag & Title invoices and ACH transactions.
  • Title Work Scheduling:
    Organize schedules for tag and title processing.
  • Refund Processing:
    Issue checks for tag refunds.
  • Duplicate Title Applications:
    Apply for duplicate titles as necessary.
  • Inventory Oversight:
    Manage inventory for metal and temporary tags, title documentation, and Manufacturer's Statements of Origin (MSOs).
  • Customer Registration:
    Generate customer registration documents.
  • Filing and Record Maintenance:
    File titles and maintain organized title inventory.
  • Support Services:
    Provide assistance for tag and title processing to customers, management, and staff.
  • Additional Duties:
    Perform other responsibilities as assigned by the supervisor.

Qualifications:
  • Education:
    A minimum of a high school diploma or GED is required.
  • Experience:
    At least one year of experience in automotive title processing is required. Familiarity with dealership accounting systems is advantageous.
  • Technical Proficiency:
    Proficiency in MS Office Suite is necessary.
  • Notary Public Certification:
    Certification as a Notary Public is required.
  • Deadline Orientation:
    Ability to understand and adhere to deadlines with a sense of urgency.
  • Professional Conduct:
    A professional demeanor and work ethic are essential.
  • Driver's License:
    A valid driver's license and satisfactory Motor Vehicle Report (MVR) are required.
