Job Overview

Centura Wealth Advisory is on the lookout for a dedicated Front Office Administrator to enhance our People & Culture division. The Front Office Administrator will be responsible for overseeing facility operations, administrative tasks, event coordination, and more. This role is crucial as it serves as the first point of contact for visitors, ensuring that everyone who interacts with Centura receives an outstanding experience.

Key Responsibilities:

  • Oversee daily office operations, ensuring supplies are replenished, including kitchen essentials, while maintaining cleanliness in common areas.
  • Manage budgetary constraints for cafeteria and general office supplies.
  • Welcome in-office visitors, offering refreshments, checking them in, and notifying relevant team members.
  • Ensure compliance standards are met while supervising in-office visitors.
  • Act as the first point of contact for incoming calls.
  • Facilitate the onboarding process by coordinating IT equipment delivery and assisting new hires with setup.
  • Organize and schedule meetings for the administrative team as required.
  • Arrange travel logistics for out-of-town visitors.
  • Create shipping labels for onboarding, offboarding, or other company-related needs.
  • Receive and appropriately distribute mail, ensuring sensitive materials are logged and securely disposed of.
  • Document meeting minutes for weekly stand-ups or other company-wide gatherings.
  • Assist in the planning and execution of company events.
  • Perform additional duties as assigned.

Qualifications & Experience:

  • A minimum of 1 year of experience in an administrative capacity, supporting various functions and collaborating with all organizational levels.
  • A Bachelor's degree is preferred.

Skills and Competencies:

  • Exceptional organizational skills with strong communication, facilitation, and listening abilities.
  • Experience in diverse working environments (online, in-person, remote).
  • Highly accountable and skilled in executing processes efficiently.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • A growth mindset with a commitment to continuous learning and improvement.
  • A strong sense of urgency while maintaining high-quality work standards.

Technical Proficiency:

  • Proficient in Microsoft Office Suite: Excel, Outlook, Word, PowerPoint.
  • Familiarity with Salesforce.
