Job Overview

Position Summary: The ideal candidate will excel in a dynamic environment, managing multiple tasks while fostering a supportive atmosphere for both patients and staff. Attention to detail and sensitivity to patient needs are crucial, along with the ability to work independently. This role involves overseeing office functions by handling communications, maintaining necessary supplies, and ensuring patient satisfaction. The individual will collaborate closely with clinical personnel, acting as a bridge between patients and healthcare providers to facilitate care coordination.

Communication Skills: Effective verbal and written communication abilities are essential. The candidate must engage with patients, colleagues, and other stakeholders with professionalism and empathy. Proficiency in Spanish, Creole, or both is advantageous.

Core Responsibilities:

  1. Exhibit professionalism and a positive demeanor towards patients, visitors, and team members.
  2. Coordinate scheduling for diagnostic tests and specialty consultations, documenting appropriately in patient records.
  3. Maintain thorough tracking and documentation of referrals to enhance team awareness and ensure patient safety.
  4. Ensure accurate patient registration, including demographic details and current insurance information.
  5. Gather and compile relevant clinical information regarding patient referrals, adhering to established guidelines.
  6. Manage prior authorization processes for diagnostic and specialty services.
  7. Communicate with insurance providers to confirm prior approval requirements, presenting necessary medical information to optimize reimbursement.
  8. Discuss referral details and expectations with patients.
  9. Serve as a primary contact for patients and families, providing direct access for inquiries and concerns, and advocating for timely approval of necessary services.
  10. Ensure timely processing of referrals.
  11. Notify patients of upcoming appointments via mail or phone.
  12. Follow up on referrals to confirm patient attendance at scheduled appointments.
  13. Request and track medical records to ensure timely receipt.
  14. Keep patient charts updated with information regarding specialist consultations, hospital admissions, emergency visits, and community health resources.
  15. Document patient interactions and progress in the electronic health record system.
  16. Participate in relevant educational opportunities.
  17. Perform additional duties as assigned.
  18. May require occasional travel between locations for coverage.

Education & Qualifications:

  1. High School diploma or GED is required; a college degree is preferred.
  2. Familiarity with electronic medical records, scheduling software, and Microsoft Outlook is necessary.

Experience:

  1. One to three years of relevant experience in a medical office environment.

Requirements:

  1. Level 2 background clearance is mandatory.
  2. All necessary vaccinations and a PPD test are required upon hiring.
