Position Overview

Key ResponsibilitiesCommunication
  • Responds to incoming calls promptly, utilizing professional telephone etiquette.
  • Manages a multi-line phone system, ensuring efficient call handling and message routing.
Client Interaction
  • Adheres to established protocols for client communication across various scenarios, including inquiries, appointment scheduling, and urgent situations.
  • Utilizes active listening to gather essential information from clients, addressing their needs effectively.
  • Identifies and resolves client concerns with empathy and professionalism.
  • Communicates important information regarding services, policies, and procedures clearly to clients.
Hospitality
  • Welcomes clients and their pets, ensuring a comfortable and friendly environment.
  • Maintains awareness of appointment schedules and informs clients about wait times.
Appointment Management
  • Coordinates various types of appointments using a computerized scheduling system, ensuring optimal time allocation.
  • Confirms appointments and provides clients with necessary pre-visit instructions.
Administrative Duties
  • Accurately maintains client records and processes payments, ensuring financial transactions are handled with precision.
  • Assists in the upkeep of the facility, ensuring a clean and organized environment.
Professional Conduct
  • Exhibits a positive attitude and professionalism in all interactions with clients and team members.
  • Demonstrates initiative by assisting colleagues and contributing to a collaborative work environment.
Qualifications
  • High School Diploma or equivalent.
  • Experience in customer service or a related field is preferred.
  • Strong communication skills and a commitment to exceptional client service.
  • Ability to manage multiple tasks efficiently in a fast-paced setting.
