Position Overview
The Payroll Operations Coordinator is responsible for the precise and timely execution of payroll processes for employees as designated. This role ensures compliance with all HR Payroll policies and adheres to legal standards and federal/state regulations. The Payroll Operations Coordinator will work closely with the Lead to assist with essential administrative payroll tasks and responsibilities.

Key Responsibilities

Execute and manage scheduled payroll cycles for non-exempt/hourly employees, including calculating wages, tax allocations, verifying payment distributions, and ensuring accurate issuance of paychecks and earnings statements. Generate manual checks and process off-cycle payrolls as needed. Prepare and reconcile post-payroll reports, including 401k contributions, liabilities, collection details, PTO, and other ad hoc reports. Administer special deductions related to wage garnishments and levies in accordance with federal and state regulations, and communicate any changes to affected employees and relevant agencies. Oversee the Time and Attendance System by verifying all paid and unpaid absences, managing special pay situations, reviewing time off accruals, and providing supervisor support related to union agreements and company policies. Facilitate the weekly transfer of payroll data from the time and attendance system to the payroll system, ensuring accuracy through thorough analysis before data importation. Responsible for updating non-exempt PTO programs, including determining benefits due, processing payments, and balancing records. Conduct quarterly reports on discrepancies within the time off system. Act as a backup for the Lead Payroll Specialist, ensuring familiarity with and training on critical business functions. Perform additional related duties in collaboration with various departments and the administration of the HRIS system.

Required Experience

Minimum of 3 years of payroll experience, encompassing data entry, account reconciliation, and general office tasks, including proficiency with software applications. At least 3 years of experience with federal and state regulations regarding garnishments and wage levies. Strong understanding of payroll best practices and tax laws. High level of accuracy in data entry tasks. Proficient in Microsoft Excel and Word applications. Effective written and verbal communication skills. Excellent research, analytical, and data management capabilities. Strong organizational, planning, and prioritization skills. Exceptional interpersonal skills.

Associate's degree in accounting, business, or equivalent experience is required.

Preferred Experience

Associate's degree in accounting, business, or a related field. 5 years of experience with UKG payroll and time management systems. Knowledge of interpreting collective bargaining agreements and adhering to negotiated remuneration structures. Experience in payroll processing for unionized workforces. Familiarity with maintaining payroll systems in accordance with collective bargaining agreements.
