Position Overview
The Payroll Operations Coordinator is responsible for the precise and timely execution of payroll processes for employees as designated. This role ensures compliance with all HR Payroll policies and legal obligations while adhering to federal and state regulations. The Payroll Operations Coordinator will work closely with the Lead to assist with essential administrative payroll functions.

Key Responsibilities

Execute and manage scheduled payroll cycles for non-exempt/hourly employees, including wage calculations, tax allocations, and verification of payment distributions, ensuring accurate issuance of paychecks and earnings statements. Generate manual checks and manage off-cycle payrolls as necessary. Prepare and reconcile post-payroll reports, including 401k contributions, liabilities, collection details, PTO balances, and additional reporting as required. Administer special deductions related to wage garnishments and levies in accordance with federal and state laws, and communicate any changes to affected employees and relevant agencies. Time and Attendance Management – Confirm all paid and unpaid absences, special pay scenarios, review time off accruals, and provide supervisor support in relation to union agreements and company policies. Facilitate the weekly transfer of payroll data from the time and attendance system to the payroll system, conducting thorough analyses to ensure the accuracy of data before importation. Oversee updates to non-exempt PTO programs, including benefit determinations, payments, and reconciliations. Complete quarterly reports on discrepancies within the time off system. Act as a backup to the Lead Payroll Specialist, gaining familiarity with critical business functions and responsibilities. Perform additional related tasks in collaboration with various departments and in the administration of the HRIS system.

Required Qualifications

Minimum of 3 years of payroll experience, encompassing data entry, account reconciliation, and general office duties, including proficiency in software applications. At least 3 years of experience with federal and state regulations concerning garnishments and wage levies. Strong understanding of payroll best practices and payroll tax laws and regulations. High level of accuracy in data entry tasks. Proficient in Microsoft Excel and Word applications. Proven ability to communicate effectively and accurately in both written and verbal formats. Excellent research, analytical, and data management capabilities. Strong organizational, planning, and prioritization skills. Exceptional interpersonal abilities.

Associate's degree in accounting, business, or a related field is preferred.

Preferred Qualifications

Associate's degree in accounting, business, or a related discipline. 5 years of experience with UKG payroll and time management systems. Familiarity with interpreting collective bargaining agreements and adhering to negotiated compensation structures. Experience in payroll processing for unionized workforces. Knowledge of maintaining payroll systems in accordance with collective bargaining agreements.
