ROLE SUMMARY
The Human Resources Specialist will assist the HR Manager in providing operational support for essential human resources initiatives and services to all staff members. Key responsibilities include: compliance management, employee engagement, onboarding processes, benefits administration, and various administrative tasks in conjunction with payroll and recruitment functions.

EMPLOYMENT STATUS: Non-Exempt, 30 hours or 3 days a week, with potential for full-time consideration for the right candidate.
KEY RESPONSIBILITIES
- Ensure adherence to legal standards by monitoring and implementing relevant federal, state, and local human resource regulations, maintaining personnel records, including files and I-9 documentation, and managing the employee handbook.
- Facilitate the onboarding of new employees, complete I-9 verification, set up timekeeping entries, and coordinate enrollment with the Professional Employer Organization (PEO). Assist in conducting orientation sessions alongside the HR Manager.
- Manage benefits communication and enrollment, provide education, and oversee open enrollment processes in collaboration with the PEO.
- Update job requirements and descriptions to maintain the integrity of the work structure.
- Maintain employee files and documentation, both electronically and in paper format as necessary.
- Support the HR Manager and departmental leaders with job requisitions and communication through Applicant Tracking Systems.
- Conduct background checks, Motor Vehicle Record (MVR) checks, and reference checks in compliance with Equal Employment Opportunity (EEO) and Affirmative Action (AA) guidelines.
- Assist with the offboarding process for departing employees as needed.
- Coordinate transportation passes and wellness incentive programs (such as gym memberships).
- Oversee the employee housing program and manage rent deductions.
- Support company incentive programs and communications, including recognition initiatives, development opportunities, seasonal celebrations, and various employee engagement meetings.
- Manage benefits programs such as wellness incentives and transportation passes.
- Organize and develop content for safety meetings.
- Assist with Workers' Compensation claims, Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), Short-Term/Long-Term Disability (STD/LTD), and Leave of Absence (LOA) in collaboration with the PEO and HR Manager.
- Uphold strict confidentiality and comply with HIPAA regulations.
- Foster positive relationships with employees.
- Perform additional duties as assigned.
QUALIFICATIONS
- Bachelor's degree in Human Resources or a related field is preferred.
- One to two years of experience in administrative support or human resources is preferred.
- Proficient in Microsoft Office, with advanced skills in Excel.
- Strong verbal and written communication skills in English, capable of interacting effectively with employees at all levels in a friendly and service-oriented manner.
- Bilingual (Spanish) is a plus.
- Excellent conflict resolution and consultation abilities.
- Detail-oriented with a strong commitment to confidentiality.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
- The Human Resources office is equipped with necessary tools such as computers, phones, filing cabinets, desks, and chairs.
- Frequent interaction with employees, homeowners, and potentially guests.
- Ability to sit or stand for extended periods.
- Must be able to lift up to 25 lbs.
TOOLS AND EQUIPMENT:

- Office supplies and equipment.
- Copy and scanning machines, fax machine.
