Job Summary

We are seeking a highly skilled and experienced Office Manager to join our team at the Bureau of Mental Health. The successful candidate will be responsible for providing administrative support to the Assistant Commissioner and senior leadership of the bureau, including scheduling meetings, maintaining accurate lists of contacts and distribution lists, and assisting with preparing meeting materials.

Key Responsibilities
  • Scheduling meetings on behalf of the Assistant Commissioner
  • Maintaining accurate lists of contacts and distribution lists
  • Assisting with preparing meeting materials, including copying, collating, and recording meeting attendance
  • General office duties, including answering phones, drafting correspondences, and sending and receiving faxes and emails
  • Serving as office manager for the Bureau, maintaining effective, timely, and strategic communication with all external and internal parties
  • Maintaining office services, including organizing office operations and bureau-wide announcements, designing filing systems, and reviewing and approving supply requisitions
  • Providing administrative support to the Bureau's Consumer Advisory Board, including assistance with recruiting new CAB members, maintaining regular communication with existing CAB members, and scheduling monthly meetings
  • Ensuring CAB feedback is routed to the appropriate staff in the Bureau and that CAB receives regular updates on how their feedback has been applied by the Bureau
  • Ensuring the Bureau has equitable access to appropriate supplies and office equipment, including printers, photocopiers, videoconference, and teleconference capabilities
  • Maintaining supplies inventory by evaluating stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies
Requirements
  • A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources, and the scheduling and assignment of work
  • 18 months of which must have been in an administrative, managerial, executive, or supervisory capacity, with supervisory work in the supervision of staff performing clerical/administrative work of more than moderate difficulty
