Position Overview

Role Summary:

The Human Resources Coordinator/Office Support Specialist is responsible for executing the daily operations of the Human Resources (HR) division, which includes recruiting and interviewing candidates, managing employee benefits and leave, and formulating organizational policies. This role also encompasses various clerical and administrative responsibilities.

Key Responsibilities:

  • Monitors, documents, and ensures adherence to mandatory and optional training, ongoing education, and performance evaluations. This may involve safety training, anti-harassment initiatives, professional certifications, and competency assessments.
  • Identifies, interviews, and assists in the recruitment of suitable candidates for vacant roles; collaborates with department heads to ascertain the skills and qualifications necessary for each position.
  • Conducts or arranges for background checks and verifies employee eligibility.
  • Facilitates new employee orientation and implements employee recognition initiatives.
  • Performs routine tasks essential for the administration and execution of HR programs, including but not limited to compensation, benefits, leave management, disciplinary actions, conflict resolution, performance management, and employee development.
  • Addresses employment-related inquiries from candidates, staff, and management, escalating complex or sensitive issues to the appropriate personnel.
  • Participates in employee disciplinary meetings, terminations, and investigations.
  • Ensures compliance with federal, state, and local employment regulations and best practices; reviews policies and procedures to maintain compliance.
  • Stays informed about trends, best practices, regulatory changes, and advancements in human resources, talent management, and employment law.
  • Attends networking events on a monthly basis.
  • Retrieves and compiles information as needed from records, emails, minutes, and other relevant documents; prepares written summaries of data when necessary.
  • Responds to and resolves administrative inquiries and concerns.
  • Performs additional duties as assigned.

Qualifications:

  • A Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
  • A minimum of one year of experience in human resources is preferred. Alternatively, three years of progressive HR experience may substitute for a formal degree.
  • SHRM-CP certification is advantageous.

  • Capability to prioritize tasks and delegate when necessary.
  • Comprehensive knowledge of employment-related laws and regulations.
  • Proficient in Microsoft Office Suite and HRIS software.

Physical Requirements:

  • Must be able to remain in a stationary position (standing or sitting) for up to 90% of the time. May require walking, climbing stairs, or using ladders.
  • Regularly operates a computer and other office equipment using hands and arms. Ability to read computer screens, correspondence, and reports.
  • Communicates verbally and listens both in person and via telephone.
  • May occasionally transport or move items weighing up to 30 pounds.
  • May be exposed to conditions such as dust, air conditioning, and heat.
  • The ambient noise level is typically quiet, consisting of normal conversations and office machinery, but may occasionally be elevated during certain times of the day.

Work Environment:

  • Employees may encounter moving mechanical parts, humid conditions, fumes or airborne particles, outdoor weather conditions, and moderate noise levels.
