Job Summary:

We are seeking an experienced Administrative Assistant (Advanced) to provide high-level administrative support to our team. The successful candidate will be responsible for executing and leading tasks associated with mid-executive level administration, as well as providing daily supervision and direction to support teams.

Key Responsibilities:
  • General Administrative Support: Provide administrative support to senior executives and teams, including correspondence, travel arrangements, and meeting coordination.
  • Access Control: Ensure secure access to sensitive areas and information.
  • Travel Support: Coordinate travel arrangements, including itinerary planning, booking, and expense reporting.
  • Correspondence Support: Draft, edit, and proofread correspondence, reports, and other documents.
  • Correspondence Management Support: Manage and maintain correspondence files, including tracking and responding to emails and letters.
  • Meeting Support: Coordinate and prepare for meetings, including scheduling, agenda development, and minute-taking.
  • Meeting Attendance: Attend meetings and take minutes, as required.
  • Support in Communicating Policy and Guidance: Assist in communicating company policies and procedures to staff.
  • Monitor Training and Education: Monitor and track training and education requirements for staff.
  • Support the In-Processing of Functional Matrix Staff: Assist in the onboarding process for new staff members.
  • Command Suite Receptionist: Provide receptionist duties, including answering phones, greeting visitors, and handling mail and packages.
Requirements:
  • Education/Certifications/Experience/Skills:
    • Doctorate + 1 year experience
    • MA + 2 years of experience
    • BS/BA + 6 years of experience
    • Associate + 8 years of experience
    • HS + 10 years of experience
  • Experience:
    • Ability to execute and lead tasks for mid-level executives (SES/FO/O6/GS15); independently lead teams and solve problems, and have experience with DOD support
    • Capable of providing daily supervision and direction to support teams.
    • Proficient with MS Office Suite of Programs: Microsoft Outlook, Excel, Power Point, and Word.
  • Physical Skills and Abilities:
    • May require lifting up to 25 pounds.
    • Requires visual acuity to use a keyboard and monitor.
  • Clearance:
    • The candidate must have a Secret Clearance.
  • Location:
    • Huntsville, AL, Dahlgren, VA, Colorado Springs, CO, FT Greely, AK, Fort Belvoir, VA, Hanscom AFB, Joint Base Elmendorf Richardson
  • Travel:
    • Some travel may be required.
