Job Summary

The U.S. District Court, District of Arizona is seeking a highly skilled Case Administration Specialist to join our team. As a key member of our Clerk's Office, you will be the first point of contact for the bench, bar, and public, providing exceptional customer service and support.

Key Responsibilities

  • Answer incoming calls and provide information to the public, bar, and court staff.
  • Act as the first and/or second level Electronic Case Filing (ECF) Help Desk for internal and external customers.
  • Accept, review, and docket documents, ensuring quality control and conformity with court requirements.
  • Create and process new case files, assigning case numbers to judges and/or magistrate judges.
  • Verify attorney's authority to practice before the court.
  • Prepare correspondence in response to inquiries from attorneys, attorney services, pro se litigants, and prisoners.
  • Sort, classify, and file case records, maintaining the integrity of the filing system.
  • Retrieve files and forward copies to court personnel, attorneys, and others, certifying court documents and ensuring data quality.
  • Prepare, ship, and retrieve records from the Federal Records Center, scanning, copying, filing, picking up, and sorting mail, processing email, and maintaining the mail meter and log.

Requirements

  • Previous and extensive customer service experience involving significant public contact and personal interaction.
  • Excellent oral and written communication skills.
  • Ability to independently prioritize and complete multiple tasks in a timely manner and keen attention to detail.
  • Ability to exercise sound judgment, work independently in challenging situations, have a strong work ethic, and the ability to work extended hours if needed.
  • High school graduate (or equivalent), two years of general experience, and a minimum of one year of specialized experience at the CL 23 (or equivalent) level.

Preferred Qualifications

  • Federal, state, or municipal court experience.
  • Case management/electronic case filing experience.
  • Bachelor's degree.
