Position Summary

Join Affiliated Oncologists as a Patient Care Coordinator. Our organization specializes in the treatment of various cancers, including lymphoma, lung, breast, prostate, gynecologic, colorectal, and head and neck cancers.

Our team comprises a multi-disciplinary group of highly skilled professionals dedicated to providing exceptional care and support to patients and their families.


ROLE OVERVIEW:
This position involves professionally greeting and assisting patients and their families. The coordinator will efficiently manage patient registrations and appointment scheduling. Additionally, the role includes answering, screening, and directing incoming calls to the appropriate staff while relaying messages between patients and clinical personnel.

Adherence to the US Oncology Compliance Program, including the Code of Ethics and Business Standards, as well as US Oncology's Shared Values, is essential.


Key Responsibilities:
  • Welcome patients and visitors to the clinic in a prompt, courteous, and professional manner, ensuring a smooth check-in process.
  • Provide and clarify necessary paperwork for patients to complete prior to their examination.
  • Collect, verify, and file patient forms for accuracy and completeness.
  • Update patient demographics and insurance information in the system.
  • Collect copayments and outstanding balances, providing receipts as necessary.
  • Respond to routine inquiries, directing them to the appropriate personnel or taking detailed messages.
  • Communicate messages to clinic staff accurately and promptly.
  • Facilitate patient check-out after examinations and schedule follow-up appointments according to physician guidelines.
  • Provide patients with detailed appointment information, including time, location, and instructions.
  • Document patient cancellations and missed appointments, rescheduling as needed.
  • Notify relevant staff of cancellations and maintain accurate patient records.
  • Support general administrative tasks, including filing and maintaining organized patient charts.
  • Ensure the lobby area is kept neat and orderly.
  • Maintain a sufficient supply of forms and office materials required for daily operations.
  • Comply with confidentiality regulations and HIPAA guidelines regarding patient records.
  • Perform additional duties as assigned, which may include typing memos and forms.

Qualifications:
  • High school diploma or equivalent is required.
  • Prior experience in a receptionist or office role is preferred.
  • Proficiency in computer systems and Microsoft Office Suite (Outlook, Word, Excel) is required.
  • Completion of mandatory e-learning courses within 90 days of starting the position is necessary.
  • Demonstrates adaptability by confidently managing daily work challenges and adjusting to shifting priorities.
  • Exhibits a strong commitment to quality and high performance standards.

Physical Requirements:

The physical demands of this role require the ability to perform essential functions effectively. Reasonable accommodations may be made for individuals with disabilities.

Employees must be present on-site during scheduled business hours, with frequent requirements to sit, stand, talk, and hear. The role necessitates a full range of motion, including the ability to handle and lift patients, as well as manual dexterity and coordination. Standing and walking for extended periods is required, and the ability to lift items weighing up to 40 lbs is occasionally necessary.


Work Environment:

The work environment may involve exposure to communicable diseases, toxic substances, and other conditions typical of an oncology/hematology clinic. Interaction with colleagues and management, as well as clients, is a regular part of the role. Minimal travel to office sites may be required.
