General Overview:
The Human Resources Faculty Staffing Specialist/Evaluator is responsible for assessing academic qualifications, competencies, and accreditation standards for faculty and staff positions. This role ensures compliance with the standards set forth by the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) and maintains meticulous records of employee qualifications. The Specialist collaborates closely with Academic Affairs hiring managers to facilitate the recruitment and onboarding processes for faculty members. This position is essential in providing ongoing support and guidance regarding hiring protocols through effective communication with hiring managers.
Key Responsibilities:
- Evaluate and analyze academic transcripts and credentials to ensure alignment with accreditation standards as mandated by SACSCOC for faculty and staff roles.
- Monitor transcript extensions and maintain appropriate follow-up in accordance with institutional policies.
- Clarify and interpret transcript evaluations to both employees and applicants.
- Conduct research on institutions, programs, credentials, and accreditation to verify document authenticity.
- Manage and update the employee credential database and ERP software, ensuring accuracy in the Faculty Action Tracking database for compensation levels.
- Process Faculty and Staff Posting requests for all vacancies.
- Keep an updated list of open positions on the college's careers website.
- Revise and update relevant information for faculty and staff in the college's online catalog.
- Collaborate with advertising agencies to design and place job advertisements, ensuring compliance with Human Resources guidelines.
- Provide training and guidance to department chairs and search committee members on recruitment policies and the applicant tracking system.
- Assign search committee members for each Faculty posting in line with Human Resources protocols.
- Ensure hiring proposals are complete, accurate, and submitted for necessary approvals promptly.
- Oversee job postings and assist in reviewing employment applications to ensure a sufficient pool of candidates.
- Formally extend and document job offers to selected candidates.
- Assist with onboarding documentation and generate identification numbers for new hires.
- Maintain and update the applicant tracking system workflow, auditing status and communicating changes to relevant staff.
- Support research and communication of job descriptions to hiring managers.
- Provide essential data to Payroll staff for accurate processing of faculty employee information.
- Uphold confidentiality regarding applicant and employee information as required.
- Compile reports and communicate information as requested by department chairs and administrative staff.
- Assist in developing and updating staffing guides, procedures, manuals, training materials, and forms.
- Maintain ongoing communication with Human Resources personnel regarding hiring documents, salary placement, and staffing plans.
- Participate in employment job fairs as needed.
- Stay informed about the college's programs, policies, procedures, and SACSCOC requirements.
- Travel as necessary within the college district.
- Perform additional duties as assigned.
Required Qualifications:
- Bachelor's degree is required.
- A minimum of two (2) years of experience in a Human Resources environment is preferred.
- Experience in higher education and familiarity with college transcript evaluations is preferred.
Certifications and Background Checks:
- This is a Security Sensitive position; all applicants will undergo a criminal background check.
- Additionally, candidates will be subject to a federal background check.
- A valid Texas driver's license and proof of liability insurance are required.
- Human Resources certification is preferred.
