Work Arrangement: Hybrid – In-office presence required three days a week at Lines for Life Headquarters
Working Hours: Monday to Friday, 9:00 AM to 5:30 PM, with a hybrid schedule involving three days in the office.
Travel Requirements: Occasional travel within the Portland Metropolitan Area is necessary to support YouthLine initiatives.
About Lines for Life: Lines for Life is a dedicated non-profit organization focused on preventing substance abuse and suicide. We strive to provide assistance and hope to individuals and communities while promoting mental wellness. Our efforts encompass a wide range of services including intervention, prevention, and advocacy. We educate, train, and advocate to avert crises related to substance abuse, mental health issues, and suicidal thoughts. In times of crisis, we are available 24/7 to provide personalized support.
Position Summary: The YouthLine Administrative Assistant plays a crucial role in delivering administrative support to the YouthLine program. Responsibilities include managing calendars, conducting research, assisting with data collection and reporting, ordering supplies, overseeing email communications, budgeting, and handling department credit card transactions.
Key Responsibilities:
- Exemplify the organizational culture of Lines for Life by embodying behaviors that align with the goals and values of the organization and its Crisis Lines Program.
- Assist the YouthLine team in scheduling meetings with both internal staff and external partners.
- Oversee the YouthLine email inbox, ensuring timely forwarding of messages to relevant staff members.
- Collaborate with YouthLine leadership to coordinate reporting for contracts and grants.
- Conduct necessary research to support YouthLine leadership.
- Arrange meeting spaces for YouthLine gatherings, prepare agendas, and document meeting minutes.
- Manage the ordering and distribution of YouthLine promotional materials.
- Facilitate the procurement of office supplies, coordinate program mailings, and assist with catering orders as needed.
- Monitor and reconcile YouthLine credit card transactions.
- Support YouthLine leadership in documenting program processes.
- Provide assistance for special projects, outreach, training, data analysis, and reporting.
- Perform additional administrative tasks for the YouthLine program as required.
Required Qualifications:
- A minimum of two years of experience in an administrative support capacity.
- Proven ability to coordinate complex schedules.
- Exceptional attention to detail and strong organizational skills.
- Excellent interpersonal, verbal, and written communication abilities.
- Capability to prepare reports and engage in analytical thinking.
- Proficiency in a web-based computer environment and Microsoft Office applications.
- Able to manage stress and prioritize multiple responsibilities effectively.
- Commitment to maintaining confidentiality and integrity.
- Willingness to work in the Lines for Life main office three days per week.
- Reliable transportation and ability to travel occasionally within the Portland Metropolitan Area for YouthLine activities.
Preferred Qualifications:
- Experience in supporting a large team.
- Familiarity with crisis intervention environments.
Physical Requirements:
- Work primarily conducted in an office setting, requiring the ability to sit or stand and work at a computer for extended periods.
