Job Summary

This role is part of the administration team and is responsible for ensuring smooth day-to-day operations in the healthcare practice. The Patient Service Specialist must maintain a professional and positive demeanor when interacting with patients, either in-person, over the phone, or via email.

Key Responsibilities
  • Answer calls and route them appropriately, taking messages and following up to ensure the relevant staff member receives the information.
  • Provide routine information to callers and only provide authorized medical advice from a provider.
  • Provide a high level of customer service to all new and existing patients of the practice.
  • Create patient cases and document telephone calls and messages into the electronic medical record.
  • Schedule patient appointments and testing as requested.
  • Register patients in the electronic medical record and verify information, including demographics and health insurance details.
  • Collect required insurance co-pays from patients, including any prior balances.
  • Follow scheduling notes and direct schedules for patient visits in other healthcare practices as advised.
  • Perform pre-visit planning daily for all upcoming scheduled appointments, including running insurance eligibility.
  • Responsible for obtaining prior authorizations and/or insurance referrals as per practice need.
  • Perform outreach to select patient groups as directed for patient care and quality measurement/guidelines.
  • Schedule specialty appointments/testing as required.
  • Perform work in electronic medical record buckets as directed and per practice need.
  • Responsible for informing the manager of administrative supply needs or assisting with ordering.
  • Follow up with providers on missing slips and create claims in the electronic medical record.
  • Responsible for working assigned revenue cycle buckets as directed.
  • Must be able to work independently with little supervision.
  • Adhere to healthcare policies.
  • Always use discretion to ensure patient confidentiality.
  • Perform other duties as requested.
Requirements
  • Strong customer service excellence expected.
  • Excellent communication and interpersonal skills required.
  • Experience with electronic medical records strongly preferred.
  • Experience with Microsoft Office, Word, Excel, and Outlook preferred.
  • High School Diploma or equivalent required.
  • One to three years as a medical secretary preferred.
